Description and Functions
Open Until FilledGENERAL DESCRIPTION:The Provider Support Specialist is essential to the Public Vaccine Program (PVP). The specialist supports enrolled healthcare facilities by assisting staff in meeting program requirements and managing vaccine inventory. Additional responsibilities include coordinating and developing training sessions for PVP providers on the use of the Wyoming Immunization Registry (WyIR) functionality and adhering to compliance standards.
This position will work with other staff within the Unit as needed.
ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function that may be performed in the job level.
- Training and Education
- Develop and conduct training for WylR functionality which includes but is not limited to the Vaccine Order Management System (VOMS) including vaccine ordering transfers inventory maintenance and vaccine returns.
- Coordinate and process updates to the Vaccine Coordinator Training Program as needed or directed.
- Develop and update the VCTP and other training resources in areas assigned as needed or directed.
- Conduct inpersonand webinar trainings as needed or directed.
- Vaccine Order Management System
- Serve as the primary contact for vaccine order processing and approval.
- Maintainuptodate vaccine settings within the WylR based on the CDCprovided vaccine price list
- Process vaccine returns and upload to VTrckS weekly
- Facilitating and ensuring vaccine transfers are completed in a timely and appropriate manner.
- Ensure vaccine inventory is submitted by providers at least monthly.
- Assist providers with troubleshooting errors with vaccine inventory.
- PVP Compliance Support
- Receive and process temperature log.
- Serve as primary contact for temperature excursions and facilitate the temperature excursion investigation process as necessary.
- Communicate with providers individually to resolve lowlevel compliance issues.
- Defer escalated compliance issues to the PVP Manager.
- Other duties as assigned
- Assist with attend and present at the WY Immunization Conference.
- Maintain Standard Operating Procedures (SOPs) for PVPrelated activities
- Other duties as needed.

Qualifications
PREFERENCES:
Preference will be given to candidates with an associates degree (typically in Business) plus 02 years of progressive work experience (typically in Business/Office Communications) OR 24 years of progressive work experience (typically in Business/Office Communications).
KNOWLEDGE:
- Knowledge of the Microsoft Office Suite.
- Knowledge of email and the internet.
- Knowledge of organization and multitasking.
- Knowledge in customer service time management prioritization and scheduling.
- Knowledge and importance of immunizations.
- Knowledge of teamwork building relationships and communicating effectively verbally and in writing.
- The ability of personal effectiveness and stress management.
MINIMUM QUALIFICATIONS:Education:Associates Degree (typically in Business)
Experience:
02 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
OR
Education & Experience Substitution:
24 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
Certificates Licenses Registrations:NoneNecessary Special Requirements
PHYSICAL WORKING CONDITIONS:
- Typically the employee may sit comfortably to perform the work; however there may be some walking standing bending carrying light items driving an automobile etc.
- Special physical demands are not required to perform the work.
