The Lpez Scholars Program Manager is responsible for the successful engagement and outcomes for 15 Lpez Scholar students. The position will be the main point of contact for University Lpez Scholar activities and responsibilities as well as providing direct support and engagement with the Hector and Gloria Lpez Foundation (HGLF) responsibilities and event activities.
This position is a fulltime position. This position will not be institutionalized. This position is funded in whole or in part by an external grant and is subject to immediate termination if the grant funding ceases. No employee who is in such a position may file a grievance over the termination of the position. While it is possible that grant funding may be renewed the current funding for this position ends on May 31 2029.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Develops and implements scholar activities coordinates student support collects and analyzes data reports scholar outcomes and reports updates to leadership
- Plans develops and executes program events activities projects and other support tasks (Lpez Scholar Orientation Lpez Foundation Dinners Leadership Summit etc.
- Researches and builds programming for students that includes conferences workshops lectures cultural trips and other activities that meet grant objectives
- Maintains and disseminates program files electronic data for reporting student information and/or other documentation as required by the grant. Monitors and maintains each students academic progress services and participation in the program
- Maintains accurate participation and financial records for the Lpez Scholars program and activities. Prepares and monitors monthly budgets for the program
- Collects and analyzes data for use in making recommendations assessing progress reporting to internal or external constituents and/or developing proposals
- Accesses coordinates and collaborates with other student success areas within the university to provide support for each students success. (Tutoring Advising Resident Life Career Internships Work Study)
- Develops and implements innovative strategies to increase participation and retention of the Lpez Scholars; monitors participation of scholars in academic programs and grant events
- Processes and coordinates administrative tasks (adding events to appropriate calendars making inperson or virtual space reservations and managing RSVPs)
- In collaboration with the Rattler Success Center Advisers guides and coaches students on best options to address academic financial and procedural concerns or questions and implications (changing or dropping a course academic progress books tutoring) and connecting them to appropriate supports services on campus
- Completes budget assignments meets deadlines obtains programmatic and departmental approvals drafts narratives/budgets and organizes the submission of all program documents; processes requests for budget redirections and categorical budgets adjustments
- Assists with academic advising to foster informed choices in students educational planning and career exploration and develops tutoring schedules based on individual student needs and academic preparation
- Attends monthly meetings with HGLF staff provides updates on program outcomes usage of student supports
- Attends all Lpez Foundation events
- Coordinates and administers all academic student testing within the Rattler Success Center
- Performs other duties as assigned
QUALIFICATIONS:
- Bachelors Degree from an accredited college or university is required or an equivalent combination of education and work related experience with first generation college student experience preferred
- One to two years administrative and/or grant experience required in a higher education setting preferred
- Must clear and maintain a favorable background investigation and clearance
- Must have the ability to demonstrate intermediate skills in MS Office MS 365 (Word Excel Outlook email and calendar and Teams). Uses various software applications such as spreadsheets virtual platforms (Zoom Teams).
- Must have excellent verbal and written communication skills. Strong public relations and customer service skills with an ability to implement diplomacy and discretion at all times; an ability to work effectively with communities across the university; highly responsive to the needs of others.
- Must have a high ethical standards and a strong sense of confidentiality; ability to prioritize and manage multiple deadlines; thrive in a complex work environment; displays solid problem solving and interpersonal skills; works well independently and as part of a team.
- Must have strong selfinitiative skills and use discretion to complete work assignments; initiative is frequently required to complete work assignments along with professional demeanor appearance and strong work ethic.
- Must have a high attention to detail and be able to organize workflow coordinate activities balance simultaneous projects without loss of efficiency in a multitasked environment and manage multiple priorities to meet deadlines.
- Positive attitude (friendly and courteous service) is essential. Promotes and maintains a spirit of helpfulness congeniality and sensitivity to the private and/or confidential aspects of the Lpez Scholars Program.
- Bilingual Preferred (English/Spanish with the ability to understand and to make ones self understood to Spanish speaking individuals).
PHYSICAL DEMANDS:
- Working conditions include a combination of working in the office and remotely as needed.
- Must be able to move across the university campus to conduct day to day business.
- While performing this role the employee will be regularly required to sit walk and stand; talk and hear both in person and by telephone; and use hands repetitively to operate standard office equipment; and occasionally required to lift up to 25 pounds.
- Specific vision abilities required by this position include close vision distance vision and the ability to adjust focus.
- Frequently communicates with others using approved technological resources; must be able to exchange accurate information through designated systems within a timely manner.
