This is an 8.0 hours per day temporary leave replacement Payroll Technician I position at the District Office in the Payroll Department. This position will begin on June 2 2025 February1 2026.
This position is not eligible for medical or dental benefitsfor the remainder of the 202425 school year. Medical and dental benefits would apply effective September 1 2025.
Hours for this position are 8:00 a.m. 4:30 p.m.
JOB TITLE:Payroll Technician

JOB SUMMARY:
The Payroll Technician assists with the preparation and distribution of the monthly payroll in accordance with federal state and district rules and regulations for over 2000 employees; provides payroll technical support information and assistance to all employees.
PERFORMANCE RESPONSIBILITIES AND ESSENTIAL FUNCTIONS:
- Provide initial contact on behalf of the payroll department with staff both in person and by phone.
- Assist individuals with payroll concerns or issues in person by phone email and other forms of written correspondence for the purpose of providing quality customer service for all employees.
- Process employee information changes and updates such as the initial setup of records and changes to addresses direct deposits W4s name changes etc.
- Maintain uptodate payroll resources/documents for the purpose of ensuring accuracy of employee payroll deductions and records.
- Utilize computerized payroll systems to verify and process timesheets for extra pay or trainings leave of absence data substitute employee work hours and leave accruals. Audit reports for the purpose of accurately compensating employees consistent with district rules laws and collective bargaining agreements.
- Review reconcile and balance monthly payroll reports for the purpose of verifying accuracy of employee pay and leave information.
- Assist other payroll staff with processing benefits and retirement as needed.
- Coordinate efforts with other departments and personnel for the purpose of verifying account information; reports or other information to resolve payroll and/or budget discrepancies.
- Process employment verification requests.
- Process wage history requests for L&I.
- Opens and disperses payroll department mail.
- Assist HR with unemployment reporting.
- File payroll benefit and retirement documents in personnel files; maintain appropriate files/correspondence and various payroll reports for the purpose of complying with federal and state guidelines and records retention laws.
- Prioritize and organize tasks for the purpose of meeting deadlines accessibility of information and completing tasks in a timely manner.
- Comply with District Policies.
- Perform other related duties as assigned.
JOB REQUIREMENTS; MINIMUM QUALIFICATIONS
Skills Knowledge and Abilities required to satisfactorily perform the functions of the job include multiple technical tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Requirements include:
- Knowledge and successful experience creating excel spreadsheets to sort check and verify a variety of payroll data. Successful experience entering data and/or downloading information from another software program into Excel for the purpose of analyzing and checking employee pay information such as wages hours leave employee position/type etc.
- Demonstrated ability to exercise sound judgment and to work independently to accomplish timely and accurate completion of all functions and tasks within the area of responsibility as well as to lend assistance to other payroll staff.
- Knowledge and ability to perform basic math including calculations such as addition subtraction multiplication fractions percent and/or ratios to perform various payroll data calculations.
- Ability to perform tasks accurately under pressure in order to meet various payroll deadlines.
- Ability to maintain accuracy of information.
- Ability to work in an environment with frequent interruptions and changing tasks and priorities.
- Ability to analyze and research payroll information effectively; collate data problemsolve identify issues and develop and follow through with action plans.
- Ability to remain patient and calm even while assisting employees who may be frustrated or impatient.
- Ability to maintain regular and punctual attendance with the ability to work significant overtime as required during peak workload periods.
- Ability to be flexible including adjusting work hours to meet deadlines.
- Skill and ability to communicate with all individuals in a professional and courteous manner both verbally and in writing exercising discretion and maintaining trust and confidentiality of information.
- Ability to develop amenable relationships with staff and the general public and to convey a positive image of self the payroll department and the District.
- Knowledge and ability to successfully write routine documents using correct spelling grammar and punctuation
- Ability to understand and follow written and verbal instructions and procedures required for processing payroll records.
- Skill in accurate and efficient data entry.
- Knowledge of and ability to successfully utilize and operate a variety of job related equipment such as computer telephone fax tenkey calculator copier shredder microfiche reader media equipment etc.
EDUCATION AND EXPERIENCE:
- High school Diploma or its equivalent.
- One 1 or more years of recent applicable experience in a medium to large public or private payroll/accounting or personnel office using a computerized payroll system.
PREFERRED EDUCATION AND EXPERIENCE:
- Knowledge of and experience utilizing Qmlativ Business Information System.
- Experience processing union payroll.
- Experience using an integrated human resource/payroll/accounting computerized payroll system processing over 500 employees.
