Job Title: Program Administrator

Reports to: Deputy Director VCU Massey Comprehensive Cancer Center

Position Overview:

The Program Administrator serves as a strategic administrative leader supporting the Deputy Director of the VCU Massey Comprehensive Cancer Center. This role encompasses strategic management of daily operations facilitation of organizational communication and coordination of complex crossfunctional initiatives. The Program Administrator acts as a critical liaison between deputy director and internal/external stakeholders with a primary focus on strategic coordination highlevel administrative management and compliance with university policies and procedures.

The Program Administrator ensures efficient and effective service delivery in alignment with VCU Masseys mission while fostering collaboration and innovation across functional areas. This position operates with a high degree of independence exercising sound judgment and managing both expected duties and unprecedented challenges.

Key Responsibilities

  • Strategic and Operational Coordination
  • Assist in the coordination and management of strategic initiatives for Massey in alignment with leadership priorities.
  • Facilitate bidirectional communication between Massey leadership and internal/external constituents.
  • Identify and support opportunities for improved engagement operational efficiency and organizational impact.
  • Serve as a liaison with stakeholders including the VCU Health Systems Office of Health Equity and other campus partners.
  • Participate in crossfunctional working groups and committees as a representative of the Deputy Directors office.

Administrative Leadership

  • Oversee daily workflow and communications for the Deputy Director including prioritization of meetings emails and calls.
  • Draft edit and finalize reports presentations correspondence and other official documents.
  • Coordinate and support meetings: prepare agendas manage logistics take minutes and track followups.
  • Maintain organization of strategic materials conference records and presentation content.

Travel & Event Planning

  • Coordinate complex travel and meeting arrangements: book transportation and accommodations manage event logistics and prepare detailed travel dossiers.
  • Ensure timely processing of travel authorizations and reimbursements in compliance with university policy.

Procurement & Financial Administration

  • Initiate and manage purchases of supplies and services in accordance with university procurement procedures.
  • Process invoices monitor budgetary allocations and reconcile monthly purchasing card transactions.

Staff Engagement & Support

  • Provide performance feedback and administrative guidance to lowerlevel staff or team members supporting Massey initiatives.
  • Serve as a resource for staff navigating university systems communications or project workflows.

Research Support

  • Coordinating researchrelated activities and timelines across multiple projects ensuring seamless integration with Dr. Baskins broader leadership and administrative responsibilities.
  • Supporting the preparation and submission of grant proposals progress reports and manuscripts including gathering required documentation formatting and editing materials.
  • Managing institutional and sponsor communications ensuring compliance with grant requirements and university policies.
  • Assisting in the organization of community engagement events advisory board meetings and collaborative research efforts involving internal and external partners.
  • Tracking project outcomes and supporting the development of presentations reports and publications related to communitybased participatory research.
  • Ensuring accurate and timely processing of researchrelated expenditures travel and reimbursements associated with funded projects and speaking engagements.
  • Maintaining awareness of funding opportunities deadlines and reporting requirements and proactively assisting in planning efforts.

Other Duties

  • Support additional strategic projects and administrative initiatives as assigned by the Deputy Director.
  • Demonstrate adaptability and commitment to Masseys evolving priorities and goals.
  • Demonstrated experience working in and fostering an environment of respect professionalism and civility with a population of faculty staff and students from various backgrounds and experiences or a commitment to do so as a staff member at VCU

Qualifications

Preferred Qualifications

  • Bachelors degree in a relevant field with 35 years of professional administrative programmatic or operational experience; or an equivalent combination of education and experience.
  • Prior experience supporting seniorlevel leadership preferably in an academic research or healthcare setting.
