Orders receives and verifies shipments of inventory and noninventory supplies equipment and parts (e.g. automotive transit hardware janitorial construction materials traffic signs/signals safety and clothing office fuel emergency medical pandemic lab supplies) on a regular emergency and rush basis. Identifies and records goods received including partial orders and warehouses delivers or follows up as required. Monitors inventory levels. Generates purchase orders and submits with invoices to Accounts Payable. Participates in annual physical inventory. Investigates discrepancies with inventory system. Sources parts using multiple methods (e.g. online phone). Performs cycle counting on a daily basis.

Processes interorganizational and subinventory inventory transfers as required. Transfers and picks up parts and supplies from other Regional stockrooms and suppliers as required. Notifies contact person of receipt and delivers parts.

Maintains delivery schedule for weekly biweekly and monthly standing orders to Regional and Police facilities.

Rotates datesensitive inventory (e.g. pandemic stock chemicals) regularly to ensure products do not expire; removes expired inventory.

Packages and labels parts supplies and other items being shipped for repair replacement warranty and return. Coordinates shipping for other program areas. Arranges for same including obtaining authorization to return items arranging transport and preparing weigh bills. Completes credit return forms for returned parts.

Distributes parts and shop supplies at the counter and garage.

Monitors fuel dispensing system and ensures adequate fuel levels at distribution sites. Activates or deletes vehicles and employee access. Investigates and resolves complaints regarding same.

Catalogues and numbers inventory. Arranges new stock items on shelves; rearranges parts and supplies as required for efficient use of available space. Updates parts labels and locations. Informs supervisor or lead hand as required of stock shortages deviations from accepted inventory control system practices obsolete stock and orders. Obtains authorization from supervisor to order noninventory items and add new items to inventory. Maintains filing system.


Assembles brake kits first aid kits and other supplies. Maintains a stock shelf of commonly used small items for ready access by staff.

Checks pricing and availability for noninventory and inventory items; and places order or obtains approval.

Checks coolant and oil rooms and reports problems to appropriate staff.

Maintains Workplace Hazardous Material Information System (WHMIS) and Material Safety Data Sheets (MSDS) in accordance with legislation. Maintains heavy machinery part books.

Receives and responds to general order inquiries; transfers or records messages as required.

Uses a forklift and electric pallet truck to receive and distribute materials (e.g. drums of oil paint culvert sections catch basins skids of glass beads paper products machine products) throughout the warehouse and building. Receives shipments for other program areas and arranges for pick up/delivery; and delivers loads and unloads skids.

Maintains accurate records and ensure security of physical inventory. Maintains equipment and a Regional vehicle in good working condition. Reports repair/replacement needs to supervisor.

Maintains a clean and organized parts room and inventory. Monitors and orders office/program supplies (e.g. pens markers tape packaging material).

Has regular contact with automotive/transit parts manufacturers and suppliers to source and order parts and supplies research information and follow up on shipping delays or discrepancies. Has contact with vendors to resolve quality control problems and warranty issues for defective materials.

Performs related duties as assigned.

Knowledge of math inventory components (e.g. turnover cycle inventory cycle counting buffer stock lead time carrying costs material requirement planning sourcing); shipping and receiving; and inventory management acquired through a Grade 12 education and 2 years of stockroom experience in a computerized environment.

Knowledge of and ability to comply with jobrelated corporate policies and procedures spills management and relevant legislation and regulations (e.g. Liquid Fuels Regulation of the Technical Standards & Safety Association (TSSA) WHMIS Transportation of Dangerous Goods Act Gasoline Handling Act). Knowledge of automotive parts.

Communication skills to provide customer service including assisting clients to identify needs; source materials and exchange parts information and place orders with vendors; investigate and resolve discrepancies; and participate as an effective team member.

Ability to read and understand parts and other manuals to determine parts needed and identify part numbers. Ability to proofread and verify computer data. Ability to prepare correspondence associated with transactions with suppliers and other Regional departments. Ability to complete requisition forms and inventory control counts keep a daily record of parts dispensed and maintain a live inventory.

Computer skills with ability to use software such as Microsoft Office Crystal Reports purchasing systems fuel systems and the Internet.

Organization prioritization attention to detail and reasoning skills to provide customer service while meeting deadlines/timelines associated with other aspects of work; investigate and take steps to resolve discrepancies and issues identified by self customers systems and others; monitor and ensure accuracy; source materials; and ensure materials are ordered or readily available for customers.

Must provide and acceptable Police Information Check (Level 2 for bondability.

Valid class G drivers licence (or G2 with 3 years of driving experience) and satisfactory driving record are required to operate a Regional vehicle. Must be able to obtain fork lift truck operation certification and electric pallet truck certification.
