Job Description

Position: Instrument Coordinator

Department: Central Processing

Schedule: 40 hours Days

POSITION SUMMARY:

The Instrument Coordinator is responsible for ordering surgical instrumentation repair and inventory control. The Instrument Coordinator must communicate and work together with the various Service Line Coordinators for instrument kit projects revising/creating kits for new and current surgeons increasing par levels of current instrument kits in order to ease daily turn overs. The Instrument coordinator must communicate any and all instrument orders project work equipment/flexible scope repairs and loaners with the CPD team and Censitrac Coordinator to ensure changes are reflected in Epic/Censitrac.

ESSENTIAL RESPONSIBILITIES / DUTIES:

COMMUNICATION WITH THE OPERATING ROOMS SLCs CPD TEAM/CENSITRAC COORDINATOR.

  • Responsible for any current or future project related work with SLCs.

  • Responsible for direct communication with instrument vendors and obtaining quotes.

  • Updates appropriate members of CPD Department team on any and all instrument/kit requests or changes made. Inform Censitrac Coordinator on inventory changes items out or returned from repair so that the appropriate changes are reflected in Epic/Censitrac related to surgical case scheduling.

ABLE TO ORDER AND MAINTAIN SURGICAL INSTRUMENT INVENTORY

  • Assures that designated PAR levels sterile peel packs/back up instrumentation is maintained in compliance with BMC/Department procedures and Industry standards.

  • Places orders accurately and in a timely fashion with the Materials Management team.

  • Properly communicates instrument order ETAs and back orders.

  • Coordinates daily order pickups with Materials Management Coordinator and organizes instrument ordering accordingly.

  • Will maintain all files relating to departmental purchases and supply requisitions as well as coordinating pending receiving and close out files.

OTHER DUTIES AND RESPONSIBILITIES

  • Ability to work independently.

  • Organizational skills; ability to manage work processes in a neat and systematic way.

  • Ability to manage multiple tasks effectively appropriately prioritize work follow established policies and procedures.

  • Able to generate reports in excel on outstanding project work and order status.

  • Responsible for maintaining the incomplete rack process while keeping things in an organized manner. Matching up orders with incomplete kits organizing incomplete kits appropriately and trays with items on repair/on order.

EDUCATION:

Requires a minimum of a High School Diploma or government recognized equivalent.

CERTIFICATES LICENSES REGISTRATIONS REQUIRED:

Requires certification as a Certified Registered Central Sterile Technician (CRCST) by the International Association for Central Sterile Healthcare Materiel Management (IAHCSMM) or as a Central Sterile Professional Department Technician (CSPDT) by the American Society of Healthcare Central Sterile Professionals (ASHCSP). Certification needs to be maintained by obtaining the required CEUs each year through the certifying agency.

EXPERIENCE:

Minimum of 2 years experience/knowledge in CPD. Successfully collecting cleaning decontaminating packing and storing sterile instruments in accordance with Industry standards.

KNOWLEDGE AND SKILLS:

  • Requires the ability to assemble instrument kits.

  • Strong knowledge of an instrument tracking system.

  • Requires ability to speak read write and communicate effectively in English with CPD Department Director Clinical Educator Manager Censitrac Coordinator and other staff Supply Chain staff/SLCs including outside vendors and members of other BMC clinical and support departments as necessary in order to accomplish CP Department tasks.

  • Requires ability to organize prioritize multitask and meet deadlines.

  • Requires ability to communicate with coordinate and facilitate among a diverse team of CP Tech Is IIs and IIIs to accomplish tasks.
