Job Description

Position Summary

The Evaluations Coordinator (EC) position consists of six 6 core elements: communication coordination documentation scheduling case oversight and customer service. The EC is responsible for scheduling and managing evaluation cases which currently include fitness for duty (FFD) FFD with violence screen (FFDVS) and preemployment psychological screening (PEPS) referrals on a daytoday basis. The coordinator completes file entry performs pretriage completes triage attempts to specialists prepares the case according to established protocols schedules the evaluation appointment creates required case documents sends the case to the specialist via eCase Manager (eCM) processes all case documentation per security and HIPAA requirements documents all case activity in eCM in real time and completes all appropriate follow ups.


Shift

Monday through Friday preferably 9am CT to 5:30pm CT. No earlier start time than 8:30am CT.


Essential Functions

  • Serve as primary contact for referral source and specialist available by email or phone to identify potential referral issue(s) work to resolve issue(s) coordinate & schedule appointment and provide regular updates on the status of the case.
  • Review identify and obtain any missing documentation from referral source via email or fax to complete the referral to schedule an appointment.
  • Calculate and provide cost estimate to the referral source based on research of current contract or lack of contract and the specialists contracted rate to maintain a specified margin designated by R3.
  • Search and triage to best qualified specialist(s) via email or phone to obtain two 2 appointment options to present to the referral source to schedule an appointment.
  • Organize and prepare case records per R3 staging protocols using a pdf page organizer for specialist review prior to appointment.
  • Coordinate schedule and confirm inoffice or telehealth appointment within established referral source and department timeframe to meet service level expectations.
  • Create telehealth link via eCM scheduler and send to the individual via Outlook email prior to the scheduled telehealth appointment.
  • Perform administrative tasks listed on the referral checklist to ensure all case steps and documentation are completed and accurate.
  • Complete case framing according to referral checklist and send case to the specialist via eCM prior to scheduled appointment.
  • Track and communicate appointment attendance with specialist and referral source via email or phone to provide case status update(s).
  • Assign send & score remote psychological test(s) using psychological test vendor(s) site(s) and provide to specialist via eCM for review prior to completion of report.
  • Monitor caseload using the work in progress (WIP) report in eCM to identify case(s) that potentially could result in a late report to the referral source and proactively communicate with the quality assurance (QA) specialist to receive status updates on the report edits and expected report completion.
  • Draft letter of agreement via word template and send to referral source via DocuSign for electronic signature & return to R3 to allow release of the final report(s) to the referral source.
  • Monitor document process and maintain all daily followup tasks using the referral checklist to meet referral turnaround times and service level agreements.
  • Identify and communicate specialty recruitment needs to R3 Clinical Recruiter using the recruitment request form to fill gap(s) in the evaluation network.
  • Monitor and reply out of service/team email inbox per assigned schedule.
  • Other duties as assigned.

Other Essential Functions

  • Participate in department and company meetings as requested.
  • Collaborate with other departments to ensure referral source and specialist needs are met (i.e. communication with Accounting Clinical Credentialing IT Network Development Operations Quality Assurance Recruiting Sales etc..
  • Ability to communicate referral source specific needs and work those into R3 processes.
  • Perform other duties as assigned.
  • Overtime/Additional Hours There are times in which overtime/additional hours will be mandatory due to an increase in work and the need to meet turnaround time frames.


Requirements

Required Skills/Abilities:

  • Ability to adapt quickly multitask prioritize duties remain flexible & complete quality work with frequent interruptions and/or distractions.
  • Math skills to calculate & provide cost estimates based on different rates and margin needs.
  • Moderate skill level for technology (i.e. various software troubleshooting simple issues understanding of telehealth platform email etc..
  • Ability to assess the importance & relevance of information effectively and efficiently share information and relevant details to the appropriate persons.
  • Ability to think through the consequences of a decision prior to making it.
  • Excellent verbal and written communication skills.

  • Proficient with Microsoft Office Suite (excel Teams SharePoint word) or related software.

Education & Licensing

  • Bachelors degree in business or a field related to mental health preferred.

Experience

  • 12 years of experience working in mental health or related field preferred.
  • 12 years of experience interfacing with customers patients and providers preferred.

Physical Work Requirements

Work is generally sedentary in nature but may require standing and walking for up to 10 of the time. Lighting and temperature are adequate and there are no hazardous or unpleasant conditions caused by

noise dust etc. Work is generally performed within an office environment with standard office equipment available.


The starting pay range for this position is $18.00 to $19.50 per hour. The positions pay range represents the national average pay for similar roles. R3 considers factors such as (but not limited to) experience internal pay equity and other business considerations when extending an offer.
