Description of Job


This work unit exists to support and manage the overall administration of the six units of the Division of Criminal Justice (DCJ) and the Director and Deputy Director. This includes the development and implementation of policies and procedures the coordination of training and educational programs management of all financial personnel and human resource matters the provision of supplies and equipment and all central office functions.


The Office of Administration (OOA) unit exists to efficiently manage the overall administration of the Division and to ensure consistent coordination of all similar functions between the program offices within the Division and Department.


To achieve this goal the office:


The office consists of both Division of Criminal Justice (DCJ) and Executive Directors Office (EDO) personnel.

WORK ENVIRONMENT
  • Hybrid position requiring a minimum of two days in the office.
  • Monday Friday typical business hours: 8:30 am4:30 pm flex scheduling possible.
  • Occasional travel statewide.

ABOUT THE POSITION

This position to assist in planning developing directing and implementing the overall program operations to ensure all program activities functions and services are provided in a timely and cost effective manner. This position works in collaboration with leadership to assist in developing guidelines staffing patterns processes and timelines in order to implement and achieve program objectives


This position operates independently in performing the full range of program management and coordinator tasks. Work requires the use of discretion and creativity within limits of theory and principles of the profession; managements program objectives; law and regulations; and general systems and guidelines. Judgment is used in the adaptation and skill application of guidelines to solve the full range of problems related to assignments. This requires the ability to anticipate and analyze the impact and consequences of decisions made. This serves as a resource to management and leadership within DCJ as well as the overall Department. Ensures a coordinated effort within DCJ to ensure the of the programs related to the statewide crime prevention package. This includes working closely with DCJ office managers CDPS and DCJ leadership. Provide specific examples of regular ongoing decisions made by this position related to this duty.

This position works across offices to provide project documentation monitor and report project status and tracking accomplishments. Provide specific examples of regular ongoing decisions made by this position related to this duty.

  • Develops and manages project plans that coordinate the implementation of the multiple programs in collaboration with offices within the division.
  • Coordinates work with stakeholders as appropriate to ensure the implementation and success of programs.
  • Establishes a project management team to coordinate manage and oversee projects.
  • Consults and collaborates with office managers within the agency to establish agency priorities develop policies coordinate agency programs and solve divisionwide operational problems.
  • Coordinates with office managers to ensure goals and objectives are met within prescribed time frames.
  • Assist with the development of procedures to meet project goals and objectives.
  • Serves as the lead in planning and developing departmentwide initiatives coordinating across divisions and offices within DCJ.
  • Provides guidance to management regarding projects and/or initiatives and their potential consistency with strategic plans.
  • Manages the project management teams.
  • Works across the division to oversee and coordinate requests for proposals program guidelines and advisory board development.
  • Coordinates with other CDPS divisions other state agencies and/or key stakeholders related to the initiative.
  • Develops and manages project plans.
  • Maintains current and accurate knowledge of best practices related to project management and change management.
  • Collaborates on statewide multidisciplinary groups as appropriate.
  • Makes recommendations to management for action steps needed to ensure effective coordination with the multiple programs.
  • Develops and maintains project management tools related to different projects.
  • Provides regular updates to division leadership on .
  • Assists office managers with reporting requirements associated with legislative requirements.
  • Prepares comprehensive progress reports.
  • Prepares documents that describe the project goals and iterative accomplishments for a variety of stakeholders.

OR
  • Bachelors degree from an accredited institution in any field AND 3 (three) years of fulltime specialized experience in performing project manager functions: coordinate activities of designated projects determine time frames funding limitations and procedures to meet project goals and objectives.

  • Extensive knowledge of quantitative and qualitative research methods.
  • Proficient with Office Suite software Google Suite and particularly Excel.


CONDITIONS OF EMPLOYMENT
  • Requires successful completion of a background investigation that includes a polygraph exam and a fingerprint based criminal history search.
  • Must be a Colorado resident at time of submitting application.
  • Must have a current Colorado Drivers License
