The ideal candidate should be a highly skilled motivated and meticulous individual to join our team. The successful candidate must be able to handle confidential information with the utmost discretion within a team environment and be able to effectively interface with all levels of management and stakeholders including the Board of Directors Executive Leadership Team and Pfizers shareholders. The ideal candidate will possess strong administrative capabilities the ability to manage multiple priorities in a dynamic environment and high emotional intelligence.
Key Responsibilities
Support the SVP Corporate Secretary and Chief Counsel Governance and Employment Law
Work closely with the SVP Corporate Secretary and Chief Counsel Governance and Employment Law providing administrative and organizational support for her and to the respective teams including but not limited to calendar management scheduling of highlevel timesensitive meetings arranging travel and completing expense reports.
Serve as the key point of contact for administrative activities ensuring smooth operations within the team.
Handle correspondence and documents of confidential nature and where appropriate respond to create compose and/or edit written materials and/or email responses.
Proactively coordinate leadership and team meetings.
Exercise sound judgment in anticipating priorities and potential conflicts to ensure deadlines are met and leaders are properly prepared.
Complete quality work on a timely basis using judgment to identify most urgent issues and working to resolve them.
Annual Shareholders Meeting and Investor Support including contacting Pfizers shareholders directly to schedule biannual institutional investor meetings with top 50 holders.
Proactively identify and resolve administrative issues demonstrating strong critical thinking skills and situational awareness.
Board Operations and Support
Work directly with the Manager of Board Operations and Support to assist with all tasks related to Board meetings onsite and offsite including assisting with travel arrangements and other logistical needs.
Project management of multiple aspects of large projects e.g. Sunshine Act reporting etc.
Handle sensitive and confidential information with the highest level of professionalism and discretion.
Prepare proofread and edit documents reports and presentations with precision and a keen eye for detail.
Oversee and maintain document resources on SharePoint and shared drive.
Coordinate activities for complex meetings and events.
Qualifications
Basic Qualifications:
High school diploma or equivalent
8 years of administrative or coordinator experience preferably with senior executives
Exceptional attention to detail and organizational skills
Excellent communication and collaboration skills
Ability to handle confidential information with integrity and discretion
Proficient at managing multiple projects simultaneously
Strong critical thinking and situational awareness
High emotional intelligence and interpersonal skills
Proficient in Microsoft Office Suite and relevant software
Preferred Qualifications:
Initiative and ability to work independently with minimal oversight
Familiarity with shareholder services and/or corporate governance preferred but not required
Work Environment
Fastpaced office environment.
Occasional travel may be required.
Must be able to work flexible hours including occasional evenings and weekends.
