Job Description

FUNCTION

Under the supervision of the Director of Special Services and the Juvenile Justice Center Administrator this position provides office professional support for Special Services at the Administration campus and at the Midland County Juvenile Justice Center.

TERMS OF EMPLOYMENT

Full time

225 days per year

Monday Friday
Breaks; Monday Thursday 10 hours per day

Yearly first two years then every three years following satisfactory evaluation.

This job includes but is not limited to any or all of the following skills duties and responsibilities:

QUALIFICATIONS

  • Must be able to pass a background check.
  • Education:
    • Required: Must be a high school graduate or have a G.E.D. equivalent.
    • Preferred: One year of additional technical/business training or its equivalent.
    • Up to two years of progressive office experience
  • Must be efficient with computers various software applications and related technologies. Experience with Microsoft Office and Google Suite applications is required.
  • Public Relations Skills: Ability to relate to schoolage children parents teachers and community members.
  • Possess welldeveloped problemsolving skills.
  • Safeguard all district data.
  • Ability to establish rapport and maintain appropriate relationships with students staff and parents.
  • Possess sound independent judgment including handling of confidential matters.
  • Ability to adapt to changes in plans or activities on short notice.

ESSENTIAL FUNCTIONS

  • Facilitate JJC Student Enrollment
  • Budget tracking adjustments and reporting JJC Master & Title
  • Expense Reporting JJC
  • Payroll for MPS staff at JJC
  • Transcripts and Grades for JJC Students
  • Registrar and Records for JJC
  • Federal and State reporting administration and support for JJC and Special Services
  • IEP Scheduling & Report Compilation JJC and Four MPS Elementary Buildings
  • Liaison between County (Courts Classroom and Special Services)
  • Records Manager Special Services (requests file maintenance internal/departmental audits scanning and uploading)
  • Scripts and Medicaid in conjunction with Special Education Administrative Assistant
  • Customer Service/Public Relations
  • Mileage reimbursement requests Special Services
  • Progress Reports Processing
  • Successfully complete districtassigned training per established deadlines jobspecific training will be provided as available.
  • Organize and prioritize tasks to meet deadlines.
  • Maintain an organized environment.
  • Communicate verbally and in writing with students staff and parents.
  • Work independently as well as with a team.
  • Fine motor skills and ability to lift up to 50 pounds unassisted to lift and move equipment and supplies.
  • Ability to perform the physical requirements of the position with reasonable accommodations.
  • Able to ride in a vehicle as necessary (e.g. training on occasion)
  • Able to work indoors during all seasons/weather/temperatures as permitted.

ADDITIONAL FUNCTIONS

  • Ability to work independently with minimum supervision.
  • Ability to plan coordinate and prioritize work effectively.
  • Communicate effectively via districtassigned email on a daily basis as determined by the supervisor.
  • Accurately complete electronic time sheets and absence reporting via the timekeeping system per assigned deadlines
  • Regular and reliable attendance
  • Consistent and reliable performance of job responsibilities
  • Perform other job responsibilities deemed appropriate by the supervisor/building administrator and/or Superintendent.
