QUALIFICATIONS:
- High School Diploma with excellent command of the English language required.
- General office experience required.
- Strong computer skills and aptitude to learn software programs used in this position.
- Experience in administration of a data based facilities reservations system and workorder management system preferred.
- Ability to interact positively with school/community.
- Ability to handle a multitude of responsibilities with minimal supervision.
- Valid drivers license and available transportation.
Regular reliable and punctual attendance required.
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Director of Capital Projects and Facility Operations
JOB GOAL: To assist with the efficient operation of districtwide capital project initiatives and overall district facility operations.
PERFORMANCE RESPONSIBILITIES: The performance responsibilities listed below represent an overview of the responsibilities for this position.
- Maintain and organize projects Sinking Fund program and department files.
- Create and process purchase orders and change order requests for vendors and contractors.
- Organize and maintain vendor files; serve as liaison to vendors on behalf of Director as needed.
- Create and maintain various spreadsheets and data bases in support of district facilities oversight and capital improvement projects occurring within Rochester Community Schools.
- Contact various vendors contractors suppliers and/or agencies to gather and organize requested information as needed.
- Coordinate Projects as Requested by Facilities Director research products/services vendors negotiate pricing & terms work with building staff & contractors to schedule work
- Enters and maintains purchase orders; performs any necessary followup with entire purchasing process from initial setup delivery status and inventory confirmation of order at designated site.
- Maintain and manage outside contractor site access including creation of temporary ID badges in support of district capital or facilities improvement projects.
- Assist the Director of Capital Projects and Facility Operations as requested.
- Manage DistrictWide emergency drill reports Communicate emergency drill requirements (provided by Oakland County) with building administrators & secretaries; manage drill schedules & reports on shared drive; upload to RCS website within 5 days; remind buildings of deadlines
- Track Utility Usage Collect gas meter reads for AHS RHS SCHS Hart MS & Transportation; update & send spreadsheet to Cherie Electric; provide summaries/reports as requested; update cost/usage info on Quarterly Report
- Biweekly department meeting update agenda/notes; send reminders to attendees; update agenda topics
- Facilities Department Quarterly Report collaborate w/dept to update project budget & utility usage data for Pete to share with Matt McDaniel
- DistrictWide Signage order & schedule installation of interior/exterior signage (along with Sarah Fremont)
- Support Auditorium Coordinator budget/purchasing support for districtwide auditorium program
WORKING CONDITIONS:
- An employee working in this assignment will be required to sit for long periods of time and work on a desktop computer.
- Data entry record search and report generation is a large part of the duties of this position and repetitive hand motion will be required.
- The employee may occasionally be required to manually verify accuracy of order delivery at different facility locations which could include moving or lifting items of approximately 30 pounds.
TERMS OF EMPLOYMENT:
- 12* month schedule
- 8* hours per day
- Salary and benefits per RSPA Classification II schedule.
REQUIRED POSITION TESTS:
Microsoft Office (Current District Version): Intermediatelevel: Word; Excel and Outlook; PowerPoint and Assessments in: Customer Service Phone Skills; Interpersonal/Teamwork Office Skills Assessment; Alpha/Numeric Filing and Record Locator Tests Sentence Clarity and Spelling.
