Job Description

The anticipated duration of this temporary assignment is 6 months.

The UCSF Foundation is responsible for fostering and strengthening the universitys outreach to constituents and for garnering its private support for the campus and Medical Center. In raising private support University Development & Alumni Relations (UDAR) staffs the UCSF Foundation and oversees the design and implementation of fundraising campaigns and activities. UDAR identifies qualifies solicits and stewards donors for the schools medical centers departments and programs of the university; accepts and administers all private gifts to the university through the Regents or UCSF Foundations; and manages all alumni relations and university support group activities and events. The UDAR office staffs the UCSF Foundation. The office is also responsible for the design and implementation of fundraising campaigns for UCSF.

Key Responsibilities:
  • Under general supervision implements noncomplex programs events and/or communication strategies designed to inform donors alumni and other key constituencies of institutional programs policies and practices:

    • Manage annual board survey draft questionnaire and summarize results
    • Assist in maintaining and updating the board orientation website
    • Contribute to committee assignment process and board partner program
  • May research various topics and gather relevant data to inform unit strategic plans:

    • Update the Nominating & Governance Committee tracking sheet with all recent discussions and candidate movement
    • Work closely with Prospect Research team to maintain and update candidate profiles
    • Create the quarterly nominating binder including board census details
    • Draft the quarterly nominating report for the board book
    • Serve as team expert on tracking Nominating data in PACE
  • Prepares and/or assists in preparing written and visual materials:

    • Write first draft of briefings for leadership chair and all speakers
    • Work with Vice Chancellors office to finalize briefings
    • Compile slides from all board meeting speakers and proof slide deck
    • Take board meeting notes produce highlevel minutes and prepare documents for board secretary
    • Track incoming gifts from the board by compiling monthly reports. Using that data and feedback from the board chair draft stewardship letters on a bimonthly basis
    • Assist in other ghostwriting projects for the board chair including board book letter and summer update emails
  • May coordinate meeting or event logistics between institutional alumni and other outside constituencies. May plan alumni events:

    • Assist in planning the annual board candidate dinner and prepare corresponding briefings
    • Collaborate with team members to coordinate plan and execute complex series of quarterly board and committee meetings

The final salary and offer components are subject to additional approvals based on UC policy.

  • Excellent written verbal and interpersonal skills including tact and political acumen to effectively represent the institution.

  • Applicable computer skills. Proficiency with Word Excel Teams and PowerPoint.
  • Aptitude for numbers and data and comfort learning new systems and software. Data management and/or systems development experience preferred.
  • Understands confidentiality.
  • Excellent time management and organizational skills. Ability to handle multiple tasks in a fastpaced environment attention to detail and ability to work well as part of a team.
  • Knowledge of basic concepts and principles of building and maintaining effective relations with a variety of alumni and other key constituencies.
  • Bachelors degree in related area and/or equivalent experience/training.
  • Two plus years experience with organizational and administrative work preferably in a nonprofit setting.


    • Basic knowledge of the institution its mission vision goals achievements policies and infrastructure.
    • Two to five years experience in project management community relations special events coordination and/or volunteer management.
