The Administrative Assistant provides administrative and clerical assistance for the sites Environmental Health and Safety (EHS) department. This position is key in supporting the process of maintaining up to date and accurate documentation for the EHS department as well as routine administrative duties such as filing typing copying binding scanning etc. In addition this position may provide support to other departments during times of need.
Job Responsibilities:
Manage the EHS portion of the SharePoint site which includes making edits to information on the site or adding new content to the site. Manage daily mail correspondence including all regulatory certified mail tracking and retention. Assist site security with badging and orientation and checking in trucks as needed. Provide clerical support for Process Hazard Analysis revalidation studies including copying and distribution of reference information for each study. Assist with tracking and reporting of EHS related metrics. Responsible to receive file and manage EHS related documentation. Update and maintain Safety Data Sheets (SDS) in an online system. Maintain contractor orientation records. Maintain documentation in support of site safety goals. Prepare EHS requisitions for purchases and obtain invoice approvals. Assist department personnel with completing expense reports and coordinating travel. Coordinate the safety shoe and glasses reimbursement program. Provide general admin duties in support of the EHS department (i.e. coordinate meetings catering order supplies etc.. Assist with developing assigning and tracking all required EHS related training and certifications for employees.
Successful Incumbents will have:
Minimum of high school education or equivalent. Two years of college preferred. 3 years experience as an administrative assistant or office manager setting. Ability to work independently. Proficiency in Microsoft Word Excel Outlook and PowerPoint. Effective organizational and time management skills. Ability to maintain a high degree of professionalism and confidentiality. Strong level of attention to detail and thorough in completing work tasks. Analytical thinking and problemsolving skills. Strong desire to cross train in different areas of EHS to enhance promotion possibilities in the future. Good interpersonal and influential skill combined with the ability to work as a team player.
