Job Description

GENERAL SUMMARY/OVERVIEW STATEMENT:

Brigham and Womens Hospital (BWH) Department of Medicine is recruiting a Research Assistant II to coordinate the Undiagnosed Diseases Network (UDN) at the Harvard clinical site. The Harvard clinical site includes Brigham and Womens Hospital Massachusetts General Hospital and Boston Childrens Hospital.

Overall the UDN is a group of medical centers across the United States including: the NIH Baylor College of Medicine Duke Medical Center Harvard Affiliated Hospitals Stanford Medical Center University of California Los Angeles Medical Center and Vanderbilt University Medical Center. The center in charge of coordinating the UDN (the Coordinating Center) is at Harvard Medical School and the two centers that perform genetic testing for the UDN are at the Baylor College of Medicine and the Medical College of Wisconsin.

The Research Assistant will play a key role in the day to day administration and coordination of research activities at the Harvard clinical site. The Research Assistant will report directly to HUDN Program Manager and work under the general direction of the Administrative Director.

PRINCIPAL DUTIES AND RESPONSIBILITIES:

  • Responsibilities include but are not limited to the following activities:

  • Develop and maintain IRB documentation including but not limited to amendments and annual reviews
  • Coordinate UDN patient visits at the Harvard clinical sites
  • Communicate with patients and families over the phone email and mail
  • Mail acceptance/deferral letters to patients
  • Coordinate the distribution and collection of consent forms packets and DNA sequencing packets prior to HUDN visit
  • Assist genetic counselors in requesting medical records
  • Track patient flow through the Cases Assessment Committee Steering Committee and Clinical Evaluation Teams
  • Coordinate travel for patients and families visiting the Harvard clinical site
  • Create summary schedule for clinical visit and distribute to patients and family
  • Meet patients when they arrive at clinical site
  • Act as patient liaison while UDN patient and family members are visiting clinical site
  • Maintain HUDN manual of operations
  • Data entry into Partners supported Research Electronic Data Capture (REDCap) database used by the HUDN
  • Assist Program Manager and Administrative Director with NIH progress reports
  • Order supplies as needed

QUALIFICATIONS:

BA/BS. Masters Degree preferred.
1 years of experience in an academic research or related setting with proven project management skills.


SKILLS/ABILITIES/COMPETENCIES REQUIRED:

Expertise
  • Strong understanding of research methodology HIPAA requirements and human research regulations
  • Experience with Institutional Review Boards
  • Experience working with patients and coordinating patient followup
  • Proficiency with standard office software (Microsoft Word Excel and PowerPoint as well as Internet applications) as well as ability to learn new computer applications

  • Skilled in identifying opportunities to improve efficiency of research processes and procedures and subsequently execute improvements


WORKING CONDITIONS:

Duties will be carried out in a typical office environment. Occasional evening or weekend work may be required.
