Job Description

We have an opening for an Program Support Administrator to support the Program Director (PD) for Weapons Infrastructure. You will work independently to plan execute and/or provide oversight to a variety of operational and organizational requirements and activities. You will provide support to the PD on daily administrative matters and participate as a member of the team in the development implementation and monitoring of all aspects of the Weapons Infrastructure Program. This position is in the Strategic Deterrence (SD) Directorate.

This position may offer a hybrid schedule which includes the flexibility to work from home one or more days per week after a probationary period. The specifics of the hybrid schedule including the exact number of days required in the office and virtual work options may vary based on the needs of the team and the organization.


In this role you will

  • Represent the PD; independently set priorities when committing the managers time; organize and coordinate complex and often confidential calendars; initiate and compose original and sensitive correspondence memoranda reports and agendas on behalf of the PD and other managers.
  • Serve as the primary administrative pointofcontact for the PD; plan execute and/or provide oversight to a variety of workforce operational and organizational requirements and activities.
  • Establish and maintain complex databases spreadsheets and tracking systems to ensure action items are completed by the required due date and follow up on pending items.
  • Clarify coordinate communicate and disseminate information on behalf of PD and other senior managers; often independently assess and respond to inquiries. Followup and ensure resolution on a wide variety of issues.
  • Plan and coordinate a variety of internal/external meetings; develop agendas and identify and contact meeting attendees and provide information for meetings or visits.
  • Manage complex and often confidential files; determine retention/destruction status of documents using Laboratory guidelines.
  • Perform other duties as assigned.

Qualifications :

  • Ability to secure and maintain a U.S. DOE Qlevel security clearance which requires U.S. Citizenship.
  • Experience providing executive assistant or administrative support to senior management/executives; at times representing management and communicating managers direction.
  • Administrative and organizational skills including detail oriented flexibility and experience independently coordinating and prioritizing multiple and complex work activities often with conflicting deadlines. Ability to work effectively with short deadlines and frequent interruptions.
  • Experience interacting with all levels of personnel exercising a high degree of discretion mature judgment and tact in handling issues of a sensitive nature and effective verbal written and interpersonal communication skills necessary to effectively explain present direct negotiate and influence others.
  • Effective interpersonal verbal and written communication skills necessary to handle sensitive and confidential issues with tact discretion and mature judgment to interact with a diverse group of personalities and disciplines at all levels internal and external to the Laboratory.
  • Effective analytical skills with the ability to anticipate identify and resolve complex issues effectively.
  • Knowledge of appropriate handling of sensitive and/or classified documents and protection.
