Position Summary
The Business Services Coordinator under direct supervision of Deputy Director of Business Services; serves as a Business Services Coordinator by understanding and being able to assess and process all business filings received by this office. Provide assistance researching legal issues impacting business filings and revenue. Handle daytoday complex and escalated request(s) related to functions of the filing process and other related duties. Conduct detailed searches in order to assist customers with filing & document acceptance procedures.
Essential Duties and Responsibilities
The essential functions include but are not limited to the following:
- Research legal issues impacting business filing in Ohio; recommend legislative updates to improve filing process & recommend policies to ensure user friendly filing process; respond to business services customer emails phone calls & other correspondence.
- Process multiple agent update filings communicate with law firms service companies & other business entities to ensure all applicable entities are updated with change of address; handle payment & reconcilement for revenue; manage referrals to Ohio Attorney Generals (OAG) office for unregistered business entities pursuant to ORC 1329.10;
- Send official notice to business regarding filing requirements track response & when entity fails to respond refer matter to the OAG for legal action;
- Load images to business filing database following scanning process; address questions regarding filings for customers & staff including legal filings;
- Run transaction reports & reconcile & provide financial documents to Finance Department; enter payments into Linga system print daily approval certificates renewal letters & cancellation certificates for mailing process cancellations for chargebacks/bad checks.
- Test system changes fixes & enhancements; work with Business Services Manager & IT to communicate issues; management prepayment accounts by coordinating with customers & Finance Division to ensure proper deposits & accurate records regarding account balances & account contacts;
- Serves as backup for Business Services Managers by assigning work opening & locking safes monitoring workflow & provide daily reconcilement to Finance;
- Complete special projects as needed for Business Services Director (e.g. review other state filing fees legislative issues; implement new programs; notary law).
- Receives complex phone calls; responds to electronic mail received from public regarding business & UCC issues; researches complex questions & follows up with customers; works collaboratively with division staff to meet established goals.
- Attends meetings responds to requests for information & assistance from other divisions &/or agencies & customers; provides adequate communication in keeping manager informed; provides oral & written presentations & responses as requested.
- Performs other related duties as assigned (e.g. recommends process & workflow improvements & staffing assignments; handles any & all duties normally performed by lowerlevel customer service assistants during their absence & peak periods).
- Unusual Working Conditions:Requires travel throughout State of Ohio & may require overnight stay. Must be willing & able to secure a valid drivers license or supply own transportation.
Minimum Qualifications
Education
- Required: High school diploma or equivalent
- Required: Paralegal certification
- Preferred: BS in Administration or related field; Additional education in business administration public administration or a related field
Experience
- Required: 13 years of relevant experience in administrative or legal roles preferably in a government or regulatory agency setting
- Preferred: Familiarity with SOS Business Filings
