Job Summary Provide administrative support to the HSE team mainly in the areas of DOT and Safety compliance and administration. Job responsibilities may vary by assigned region. Expectations Selfmotivated organized and effective communicator. Given parameters but works with little supervision once trained. Must be able to manage time effectively with frequent interruptions multitask and prioritize work. Essential Duties DOT Compliance Administration - Manage and maintain Driver Qualification (DQ) program to ensure compliance with the Department of Transportations (DOT) regulatory initiatives and responsibilities.
- Manage/maintain fleet maintenance program
- Manage ELD program and paper driver logs according to DOT regulations
- Collaborate with the shop supervisor to ensure DOT compliance of truck files and truck maintenance files
- Manage/maintain documentation for truck files in administrative office and for trucks according to DOT regulations
- Assist in managing/maintaining company policies pertaining to DOT drivers
- Assist in DOT compliance and reporting
- Assist in ordering/maintaining permits and registrations for all state and federal requirements
HSE Compliance Administration - Manage/maintain contractor information management systems (ISNetworld VeriforceONE etc.
- Manage/maintain HSE Training History matrix and all employees HSE training certificates
- Manage/maintain all facilities and personnel safety records
- Manage/maintain PPE equipment and supply purchases
- Assist in monitoring usage of incident reporting tools
- Assist in general OSHA compliance and reporting
- Assist in scheduling all safety trainings
- Assist in setting up all HSE meetings
- Assist in maintaining HSE policies and programs
- Assist in maintaining Standard Operating Procedures (SOPs) forms and flowcharts
Other - Serve as backup for other HSE/DOT Administrative Assistants as needed
- Assist with the coordination of HSE/DOT audit information
- Serve as an active team member and resource to internal customers in assigned locations
- Investigate and resolve internal customer queries
- Communicate with internal customers via phone email mail or inperson
- Develop a thorough understanding of company product lines locations and internal reporting requirements
- Order food for company events as needed
- Work well independently and as a team
- Provide excellent customer service

Qualifications Education/Experience: High school graduate or GED. 2 years of HSE/DOT/Office experience preferred. Certifications/Licenses: None required. Driving Requirements: Valid drivers license preferred. May need to run errands or pick up office supplies. Physical Requirements Lift push pull and carry up to 50 pounds chest high. Must be able to reach push pull and grasp with arms and hands. Will require daily standing crouching and/or kneeling sitting climbing and walking although the position is mostly sedentary. Repetitive motion of the wrists hands and/or fingers. Must be able to talk hear and see. Must be able to assess accuracy neatness and thoroughness of work. Work Environment Indoor shop/office setting with laboratory onsite. Includes potential exposure to chemicals dust odors fumes oil and gases. Noise level is typically moderate. Communication Skills Effective verbal and written communication skills as well as providing excellent customer service. Understand all audiences and develop appropriate communication solutions. Skilled at cultivating and managing relationships. Language Skills Ability to read interpret and understand documents such as safety rules operating instructions policies and procedure manuals. English language fluency in reading writing and speaking. Bilingual beneficial. Cognitive Skills Must be able to focus for long periods of time. Ability to comprehend FMCSA/DOT & OSHA regulations and details. Must be able to problem solve. Must be able to assess and ensure accuracy neatness and thoroughness of work. Computer Skills Efficiently navigate a web browser mobile applications and electronic timesheets. Must be proficient in Microsoft Office Suite (Excel Teams Word Outlook SharePoint etc..
