The Opportunity

The Senior Timetabling Officer supports a range of complex administrative services to support Scheduling Operations. This role assists in creating an oncampus and online timetable for theUniversity. The Senior Officer liaises with stakeholders to appropriately assign resources and coordinate allocations of both staff and students create and manipulate reports and monitor availability of teaching activities using the relevant software applications.

The Senior Officer also supports the effective development of the University annual timetable for partner faculties utilising relevant systems (Syllabus Plus Allocate Reporting Tools); this includes:

  • Negotiating with faculties departments schools academics and other Monash University departments to resolve timetable problems and efficiently utilise space for teaching activities
  • Developing and maintaining processes to ensure data integrity of class allocation applications and systems
  • Use Syllabus Plus Enterprise and MSExcel to create and manipulate teaching allocation reports for regular review and make strategic recommendations to the Manager

The Senior Officer contributes to the review implementation and continuous improvement of core scheduling and allocation systems and processes to drive efficiencies and enhance the experience of students and stakeholders.

To be successful in this role the applicant will have:

  • A sound working knowledge of Syllabus Plus Enterprise including the creation and management of Student Sets
  • A sound working knowledge of the Allocate student allocation system
  • Advanced knowledge of MS Excel and a good working knowledge of the MS Office suite of applications with a demonstrated ability to learn new software applications
  • Proven problem solving skills with the ability to deliver creative solutions recommend and implement changes to improve the efficiency of processes
  • High level of communication skills both face to face and on the telephone and a demonstrated commitment to the provision of direction and quality service with minimal supervision for all levels of staff and students
