The University of Tennessee Foundation Inc (UTFI) invites applications and nominations to fill the position of Advancement Assistant III. Reporting to the Director of Talent Engagement and Development the Advancement Assistant III is responsible for supporting and coordinating essential enterprisewide administrative functions by staffing the reception desk at UT Foundation Inc. (UTFI) Central Services office located in Knoxville TN. Additionally this position will provide administrative support to two senior UTFI leaders the Chief Financial Officer (CFO) and the Chief Technology Officer (CTO).
Through their consistent reliable and professional presence this position contributes significantly to UTFI operations by providing a customercentric experience to all UTFI guests whether through inperson or virtual contact.
Job responsibilities include but are not limited to:
Front Desk Reception: Answer the main phone line for the UT Foundation Central Services office routing calls to appropriate department or individual. Receive sort and distribute all incoming mail and packages utilizing established procedures tools and resources (USPS campus parcel delivery services). Receive requests for temporary/visitor parking passes; maintain log of passes issued; print and distribute passes. Welcome and greet visitors; notifying team members when guests arrive. Serve as a liaison to building management to communicate needs or requests regarding maintenance custodial service etc.
Administrative Support: Manage Outlook calendars for the CFO and CTO including setting appointments coordinating schedules sending meeting invitations and miscellaneous calendar updates. Prepare meeting materials. Prepare and submit expense reports in accordance with UTFI and University policies. Support needs related to travel including making arrangements coordinating schedules etc.

A valid drivers license with an acceptable driving record is required due to travel responsibilities of the position. UTFI reserves the right to consider all appropriate circumstances. In general any significant driving offense less than 12 months old will eliminate the application from consideration for the position.
Applicants will be considered if the required bachelors degree may be conferred by May 2025. The selected hire must be able to provide degree completion verification by either their start date or within 2 months of hire date.
