Job Summary Develops and administers academic and research programs including the undergraduate research minor and the Academic Associates Program. Designs curriculum negotiates contracts and program funding solves program related issues evaluates and redesigning programs manages staff and collaborates with departments and faculty to develop course and research programs for the Research Education Office within the Department of Pediatrics at the University of Utah School of Medicine. Responsibilities
Essential Functions Academic Program Management Oversees all daily program operations and coordinates all program activities of the Academic Associates Program. Develops and implements program goals objectives courses and activities. Monitors program quality and effectiveness and researches improvement methods. Works with office operations manager to create program budget; monitors and approves related expenditures and helps ensure budget goals are met. As requested prepares reports and records on program status and progress. Coordinates strategic direction sets course enrollment goals and manages intraUniversity marketing plan for continued growth of program. Maintains the Academic Associate Program website content. Assesses the past performance of academic and research programs though program evaluations. Program Coordination Advises staff students and others regarding program policies goals and related technical issues. Writes and edits program related publications and promotional or educational materials. Oversees administration of Canvas and other studentfacing systems for the program. Attends class as needed and supports virtual hybrid and inperson educational models. Works collaboratively with course program director(s) to develop and grow course offerings and maintain quality of course curriculum against institutional and national standards. Coordinates pre and postsemester activities as required for successful student completion of program including course registration grade reporting etc. Coordinates with University of Utah faculty to arrange speakers and research project opportunities for the program. Coordinates with the research education office manager and financial teams within the department to ensure timely semesterbased invoicing of studies utilizing the program (Blue Coat Program). Program Development Nurtures collaborative relationships with university faculty and principal investigators to explore avenues for academic and clinical expansion of the Academic Associate Program. Identifies and fosters discussion for diversified revenue support for program expansion both with university partners and external healthcare systems. Assists program course director(s) with curriculum expansion and administratively supports growth of the program. Serves as a resource for research education program development across the Research Education Office and the Department of Pediatrics. Advocates and creates space within University of Utah organizational levels for conversation and funding opportunities for undergraduate research education. Human Resources Manages the semesterbased process for recruiting training onboarding and offboarding student leadership team and student research assistant hires. Coordinates with Pediatrics HR Office to maintain accuracy in records and activity within program. Ensures competency of program coordination staff by properly onboarding training and mentoring newly hired office staff to job responsibilities office policies division functions workflows and computer and IT processes. Provides ongoing mentorship and training as needed. Provides regular performance feedback for program coordination staff and assists in conducting annual performance evaluations. Assists in coordinating work schedules for student leadership team and student research assistant hires. Assists in monitoring time and attendance in Kronos for bimonthly payroll. Assists with staff development by identifying professional growth opportunities within established budget constraints. Minimum Qualifications
Bachelors degree in a related area plus three years of experience in budget grant and program management or equivalency (one year of education can be substituted for two years of related work experience) required. Develops and implements program ideas into successful academic and research programs; demonstrated human relations and effective communication skills also required.
