  • Executive Assistant Human Resources

    The Executive Assistant Human Resources works closely with Superintendent Director of Finance and Payroll Specialist. The Executive Assistant Human Resources is the primary point of contact for all HR related questions and oversees all records associated with Human Resources including electronic and hardcopy records and retention. The Executive Assistant Human Resources assists staff in navigating HR processes including onboarding offboarding and certification requirements. This position has a responsibility for completing both state and federal reports.
    • FTE: 1.0 July 1 June 30
    • Days/Year: 260 (Estimated)
    • Hours Per Day: 8
    • $27.63 to $30.57/Hr

    Duties and Responsibilities:
    • Oversee onboarding staff documents and staff databases:
    • Create and maintain documents spreadsheets and forms as needed
    • Maintain records of Certificated Staff including certification employee credits clock hours and continuing education (PD Enroller)
    • Maintain records of Classified Staff including qualifications certificates degrees employee credits clock hours and continuing education (PD Enroller)
    • Maintain essential employee records including contract updates assurance letters leave requests disciplinary files medical files and salary placement documentation including transfer of records between school districts
    • Draft documentation in preparation for terminations exit interviews and disciplinary conversations under the direction of the Superintendent
    • Manage the eVal system for certificated staff evaluations
    • Ensure completion of and compliance with state and federal reporting and documentation including:
    • S275
    • HR Budget
    • State and federal grants in EGMS
    • Serve as a resource for interpreting staff certification levels and
    • Upload other HR related information for compliance of OSPI state and federal statutes
    • Coordinate the hiring and onboarding for new employees utilizing the districts hiring platform (Frontline):
    • Create and post job descriptions
    • Edit/update forms and templates
    • Send forms and onboarding information to candidates
    • Manage the districts training platform (Vector/SafeSchools) platform for mandatory and recommended training
    • Manage and track candidate and staff data
    • Host inperson new hire orientations covering the Employee Handbook benefits and policy
    • Conduct background checks on and ensure fingerprinting for new and returning staff
    • Review fingerprinting and background check data
    • Compile and maintain accurate records
    • Assist Payroll Specialist with benefits management
    • Enroll and maintain employees on the employer side of programs used at CRSD (Frontline Skyward SEBB insurance DRS retirement training platforms school email etc.
    • Assist Payroll with staff personal benefit enrollment (SEBB insurance and DRS retirement)
    • Develop resource packets email templates and howto guides to encourage staff comprehension of and access to human resources benefits programs and information
    • Conduct periodic inperson work sessions reviewing HR information and processes
    • Assist as needed in compiling materials and perform data searches related to public records requests and audits
    • Regularly review and manage HR policies (Employee Handbook) and procedures to ensure alignment with local state and federal law
    • Interpret and apply HR policies and procedures under the direction of the superintnendent
    • Complete other duties as assigned

    Minimum Qualifications:
    • AA Degree (may substitute for equivalent work experience)
    • Proficiency with a variety of computer applications including the Microsoft Office Suite (Excel Word etc. and Google Suite (Sheets Slides Documents); ability to learn new computer applications quickly
    • Strong work ethic and sense of integrity trustworthiness and ability to maintain a high level of confidentiality
    • Excellent verbal and written communication that promotes understanding of complex concepts
    • Knowledge of principles and processes for providing customer services and demonstrated ability to work in a positive manner with staff and other stakeholders
    • Independence and a demonstrated ability to effectively prioritize workload and work under pressure in an environment with multiple simultaneous tasks while maintaining a strong attention to detail
    • Strong knowledge of and/or ability to learn and apply state and federal HR laws

    Preferred Qualifications:
    • Prior Human Resources experience
    • Prior knowledge of Skyward and Frontline systems
    • Experience working with people
    • Experience working in a school setting
