Duties and Responsibilities

  1. *Assists in managing the operations for the University of Hawaiis leading speaker series (Better Tomorrow Speaker Series) which organizes public forums on issues of critical importance to Hawaii.
  2. *Works with the Series Director to advance the mission of the series by providing assistance in event promotion and logistics coordination.
  3. Serves as point of contact for Better Tomorrow Speaker Series by maintaining communications with vendors taskspecific contractors and community partners.
  4. *Assists in coordinating workflow directing tasks and reviewing work of student assistants.
  5. *Direct logistics for inperson and online events including venue booking catering guest lists registration AV setup and volunteer coordination. Supervision of event contractors staff and volunteers for inperson and online events e.g. caterers valet companies ushers etc.
  6. Assists with speaker communications and coordination including itinerary preparation ground transportation travel accommodations.
  7. Assists with payments processing budget reporting procurement of supplies and fiscal compliance.
  8. Manages online file organization and management including large AV files.
  9. Assists with database management supervise data entry and validation.
  10. Manages equipment inventory procurement of supplies and coordination of technical maintenance (e.g. computers cameras microphones).
  11. *Coordinates student communication assistants work in promoting events video recordings and podcasts including communications via social media and email
  12. *Monitors workflow for contractors who do video editing sound engineering graphics and web design.
  13. *Creates checklists and procedures for the series with the close supervision of Series Director.
  14. Works periodically on weekends and/ or evenings as needed to provide assistance at various Better Tomorrow Speaker Series Events.
  15. Other duties as assigned.

Minimum Qualifications
  1. Possession of a baccalaureate degree in Communications Management Social Sciences/Humanities or related field and zero 0 year(s) of progressively responsible professional experience with responsibilities for project management event management communications; or any equivalent combination of education and/or professional work experience which provides the required education knowledge skills and abilities as indicated.
  2. Functional knowledge of principles practices and techniques in the area of project management event management and/or communications demonstrated by knowledge understanding and ability to apply concepts terminology.
  3. Functional knowledge and understanding of principles theories federal and state laws rules regulations and systems associated with project management event management and/or communications.
  4. Demonstrated ability to recognize problems identify possible causes and resolve the full range problems that may commonly occur in the area of project management event management and/or communications.
  5. Demonstrated ability to understand oral and written documentation write reports and procedures and communicate effectively in a variety of situations.
  6. Demonstrated ability to establish and maintain effective working relationships with internal and external organizations groups team members and individuals.
  7. Demonstrated ability to operate a personal computer and apply word processing spreadsheet and presentation software.
  8. Excellent writing skills experience writing memos summaries or promotional materials for a universitylevel audience.
  9. Excellent oral communication skills. Ability to represent the speaker series positively to elected officials donors UH officials and nonprofit leaders.
  10. Ability to work independently and autonomously but in close coordination with the director and small team of student assistants.
  11. Knowledge and experience with computer systems and essential business software including spreadsheets word processing and basic graphic design platforms.
  12. Capacity to manage complex multipart projects with varied timelines; strong organizational skills.
  13. Experience in event promotion or communications.
  14. Ability to work periodically on weekends and evenings.
Desirable Qualifications
  1. Knowledge of public policy problems in Hawaii including those related to housing the environment innovation social relations and the economy.
  2. Experience working with nonprofit organizations in Hawaii.
  3. Knowledge and experience with video editing photo editing and/or web design software.
  4. Familiarity with University of Hawaii policies and procedures.
