Description / Position Overview

Executive Assistant

We are seeking an experienced and highly motivated Executive Assistant to provide professional administrative support to our csuite executives in a dynamic and fastpaced environment. Thisspecial atwill role requires creativity exceptional communication and organizational skills a proactive mindset critical thinking an adaptive attitude and a high level of flexibility. As an Executive Assistant you will serve as a trusted partner to city leadership embodying the values of approachability transparency and proactiveness. You will act as a vital connection between the executive and a wide range of stakeholders including city departments community organizations business leaders and the media.

This position is ideal for someone who is an experienced scheduler thrives under pressure takes initiative to anticipate needs and maintains discretion while fostering open communication and professionalism. Youll enjoy a dynamic role where no two days are the same.

Work Schedule: This role requires inoffice presence Monday to Friday and frequent extended hours including evenings and weekends.

As an Executive Assistant you will:
  • Represent the City in a professional polite and courteous fashion.
  • Serve as a scheduler and coordinate logistics for meetings events and other activities including arranging facilities catering and technology needs.
  • Manage the executives daily schedule including planning coordinating and preparing for internal and external meetings events and travel.
  • Manage one administrative staff member and coordinate closely with other executive assistants.
  • Gather and prepare materials for presentations reports and special projects.
  • Serve as a primary liaison between the office and both internal and external stakeholders.
  • Track monitor and follow up on key tasks deadlines and events to ensure nothing is missed.
  • Draft and prepare correspondence reports and other documents with impeccable attention to detail.
  • Respond to and resolve inquiries complaints and requests with efficiency and diplomacy.

Knowledge Skills and Abilities:
  • Strong knowledge of modern office practices and software including Microsoft Office Suite (Word Excel PowerPoint and Outlook).
  • Exceptional interpersonal skills and a demonstrated commitment to delivering outstanding customer service.
  • Superior written and verbal communication skills with an emphasis on professionalism and accuracy.
  • Proven ability to work independently exercise sound judgment and maintain strict confidentiality.
  • Extraordinary organizational and multitasking abilities with a focus on producing timely and accurate work in highpressure situations.
  • Sensitivity to community issues and the ability to navigate complex stakeholder relationships.

Minimum Qualifications

  • Bachelors degree from an accredited college or university with major coursework in a related area of study or related experience.*
  • Five years of fulltime professional experience providing highlevel administrative support to senior leadership or executives including complex scheduling event and meeting coordination and travel management.
*One year of relevant work experience may be substituted for one year of required education (OR) one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.

  • Experience supporting elected officials
  • Experience working in a government setting
  • Possession of a relevant certification such as the Certified Administrative Professional (CAP) or Project Management Professional (PMP)
