Facilities & Marketing Assistant Law Firm
Location: Vancouver BC
Salary: $55000 $60000 per year
Our client a wellestablished Personal Injury and Class Action Law Firm located near West Broadway & Granville Street in Vancouver has been helping clients for over 20 years. They are currently seeking a Facilities & Marketing Assistant to join their team. This dynamic position supports daily operations across administration basic IT facilities coordination and marketing initiatives. The ideal candidate is organized techsavvy and proactive with a passion for delivering highquality internal and external service.
Key Responsibilities
Administrative & Facilities Support
- Assist with daytoday firm administration
- Provide basic IT support and liaise with external IT service providers
- Coordinate new staff setups (equipment access workspace)
- Liaise with building management for maintenance access cards and parking
- Act as Fire Warden and maintain safety protocols and documentation
- Organize meetings training sessions webinars and conferences
- Order catering and support firm social events
- Provide occasional reception coverage
Marketing & Communications
- Support marketing and business development efforts for the firm and individual lawyers
- Maintain and oversee mailing lists and marketing inventory
- Coordinate holiday and referral gifts promotional materials and ecard campaigns
- Draft and edit the internal firm newsletter
- Manage Mailchimp communications and client outreach
- Collect and manage social media reviews
- Work with thirdparty vendors and website designers to maintain online content
- Collaborate with CRM administrators to manage client data and generate reports
Other Responsibilities
- Complete additional tasks as assigned by the Director of HR & Operations or senior management
- Ensure adherence to firm policies and procedures
Qualifications & Skills
- Previous experience in administrative support and/or marketing roles
- Excellent verbal and written communication skills
- Strong interpersonal skills with a clientservice mindset
- Proficient with MS Office (Word Excel Outlook) and internet tools
- Experience with case management or CRM software is an asset
- Highly organized with a strong attention to detail
- Able to work independently and manage competing priorities
- Sound judgment discretion and the ability to handle confidential information
- Professional demeanor and ability to remain calm under pressure
