ASSOCIATE DIRECTOR OF SITE SELECTION GENERAL SUMMARY Representing the Sites team this position contributes to weekly and monthly leadership meetings offering valuable insights and updates. Also the Associate Director oversees complex sourcing projects ensuring they align with client needs and objectives as well as providing strategic guidance. The role provides critical support in contract disputes and crisis management including handling issues related to attrition cancellations and hotel or client challenges. In addition to fostering strong client relationships the Associate Director supports the MSASOW contract renewals for sitesonly clients. The role reviews and tracks daily sourcing activities using CRM platforms like HubSpot. This position creates comprehensive RFPs (Cvent) evaluating historical data and ensuring proper review and approval by planning and account executives (AE). The Associate Director identifies and sources venues based on client feedback and sourcing expertise leading the venue evaluation process in collaboration with the planning and AE teams. The Associate Director designs detailed and visually engaging venue presentations and site inspection agendas to assist clients in making informed decisions. Contract negotiation skills are crucial in understanding clients budget constraints unique requirements and finalizing agreements with procurement and/or legal contacts. The role guides event reporting including weekly pickup reports and event history spreadsheets and support attrition and cancellation negotiations to ensure favorable terms. ESSENTIAL FUNCTIONS - Client Relationship Management: Foster strong client relationships becoming an integral part of their team.
- Contract Renewal: Handle Etherio contract renewals for sitesonly clients.
- CRM Management: Review and track daily sourcing activities in HubSpot or designated CRM platform.
- Project Leadership: Lead complex group projects managing events up torooms on peak night.
- RFP Management: Evaluate event details and historical data to create comprehensive RFPs (Cvent) ensuring they are reviewed and approved by planning and account executives (AE).
- Venue Sourcing: Identify and source cities and venues based on client feedback and recommended options based on indepth sourcing knowledge.
- Venue Evaluation: Lead the venue evaluation process collaborating with planning and AE to narrow options.
- Presentation Creation: Design detailed visually engaging venue presentations and site inspection agendas to support client decisionmaking.
- Contract Negotiations: Drive contract negotiations by understanding clients budget constraints and unique requirements and collaborating with procurement and/or legal contacts.
- Event Reporting: Guide weekly pickup reports (if requested) and maintain event history spreadsheets for tracking and analysis.
- Event Support: Travel to key client events as needed typically for 23 days per event to provide onsite support.
- Industry Partnerships: Cultivate and strengthen relationships between Etherio and CVB/NSO contacts to enhance collaboration and opportunities.
- Mentorship: Mentor and train team members to promote individual and team growth ensuring overall success.
- Additional Duties: Perform other responsibilities as assigned to support team and organizational goals.
MINIMUM AND PREFERRED QUALIFICATIONS - Bachelors Degree or equivalent experience.
- 10 years sites management (sourcing) experience.
- Strong organizational and time management skills required.
- Strong communication and interpersonal skills required.
- Strong customer service skills.
- Strong CRM knowledge requested.
- Strong knowledge of Microsoft Excel and PowerPoint.
- Strong attention to detail and industry legal knowledge.
- Excellent knowledge of convention cities and venues in the US and international destinations.
- Excellent knowledge of contract negotiations and legal verbiage.
- Excellent knowledge of Cvent and other sourcing platforms.
- Strong knowledge of differences between markets such as association vs. corporate vs. incentive.
- Ability to multitask.
WORKPLACE LOCATION REQUIREMENTS Atlanta preferred. We operate as a Hybrid work environment working as a combination of remote and inoffice presence as well as the possibility of being onsite at client and/or event locations. TRAVEL REQUIREMENTS Ability to travel at least 30. SCHEDULING REQUIREMENTS Requires flexibility in scheduling such as the ability to work evenings and weekends to meet client event or company needs.
