Job Description

Position Location: This position will be based in ACTs New York City office.
Reports to: Director of Finance
FLSA Status: SalariedExempt
Employment Type: Fulltime
Hours: MondayFriday hybrid position requires a mix of remote work work on site and inperson meetings.
Salary: The baseline salary for this position is $70000; additional compensation is negotiable based on experience.

We have offices in New York City Philadelphia and the Washington D.C. metro area.

Position Description: ACT is seeking an experienced Bookkeeper to join our Finance team. This role supports the Director of Finance in managing daytoday administrative financial operations including accounts payable and receivable payroll processing expense management audit preparation and ensuring the accuracy and integrity of financial data across departments.

The Bookkeeper will work closely with the Director of Finance and the Deputy Executive Director of Operations HR and Finance to maintain accurate records improve financial processes and generate timely reports that support organizational decisionmaking. This role will also collaborate with the Development Operations and Human Resources teams to support crossfunctional financial tasks.

The ideal candidate will bring strong attention to detail excellent organizational skills and the ability to work crossfunctionally.

Key Responsibilities Include:

  • Process track and manage all accounts payable and receivable transactions including retrieving checks from the NYC office.
  • Ensure invoices are accurately coded approved and processed within deadlines.
  • Reconcile vendor accounts and maintain communication on payment statuses
  • Handle invoice submissions ensuring all supporting documentation is provided
  • Verify invoice accuracy and compliance with organizational policies before processing payments.
  • Track invoice payments and communicate statuses to relevant departments.
  • Work with HR to review and validate payroll and employee reimbursement information and process payments through the Gusto human resources platform ensuring accuracy and timely disbursements.
  • Work with the Human Resources Manager to integrate payroll and benefits data into financial reports.
  • Support the Finance Director in budget tracking forecasting and audit preparation.
  • Maintain accurate wellorganized financial records for audits tax reporting and compliance purposes.
  • Assist with development of the annual budget and preparation of regular financial reports.
  • Collaborate with the Finance Director and Deputy Executive Director of Operations HR and Finance to improve financial workflows enhance efficiency and automation ensure data integrity and support strategic decisionmaking.
  • Provide ad hoc financial reporting and administrative support as needed.

Qualifications Skills and Experience

  • Bachelors degree in accounting Finance or Business Administration preferred.
  • Bookkeeping certification (e.g. QuickBooks) is a plus.
  • Nonprofit experience is required with knowledge of restricted and unrestricted funds.
  • 3 years of experience in bookkeeping accounting or financial administration.
  • Proficiency in QuickBooks for transaction management.
  • High level of professionalism in handling confidential/sensitive information
  • Proficient in calendar management email spreadsheets and common business and accounting software; advanced Microsoft Excel skills required. Training will be provided for internal office databases.
  • Strong organizational skills to manage multiple deadlines and financial transactions.
  • High attention to detail to ensure accuracy in payments reimbursements and reporting.
  • Problemsolving abilities and initiative to improve financial workflows.
  • Excellent written verbal and interpersonal communication skills with the ability to collaborate effectively across departments.
  • Demonstrated ability to work independently and remain flexible in a small nonprofit environment.
