Summary
Respond and complete requests for health and medical record information in keeping with State and Federal Laws and Departmental policies and procedures. Apply laws polices procedures and customer service skills in completing job duties.
Key Responsibilities
Validity of requests is verified and authorization is granted for the release of information per established guidelines.
Authorized correspondence information is identified copied logged and sent per established guidelines.
Correspondence materials are billed and payment is monitored to meet established targets.
Correspondence activity is documented in the SoftMed system on a concurrent basis.
Supplies are maintained to meet departmental needs.
Patient searches are conducted using manual and computerized systems including MEDITECH system.
PRO and Medicare B requests are answered in adherence with policies and procedures.
Cross coverage such as answering telephone calls is provided to support HIM team meet department objectives.
Coordination with Correspondence vendor (Bactes) is provided to ensure that all cases are completed within established timeframes.
Coordination with OPD staff is provided to alert them of charts to be pulled for vendor visits to sites.

Qualifications and Experience
Education/Degree
Required:
RHIT or RHIA; minimum of 2 years correspondence experience can be substituted for formal education.

- Minimum of 2 years of relevant medical records experience preferably in Correspondence.
Skills
Required:
Working knowledge and appreciation of the laws regarding privacy & confidentiality including HIPAA laws.
- Must be familiar with general principles and practices of Health Information Management Sciences and understand how they apply to hospital situations medical records and correspondence.
- Knowledge of correspondence procedures and accurate application of that knowledge.
- Computer proficiency. Microsoft office applications preferred with ability to learn new software.
