Reports to: Manager Accounts Receivable Accounting

Hours Available: MF 8:30am5:30pm EST 1hour lunch break)

FLSA Class: Exempt

Summary: The Credit Collections and Chargeback Analyst is responsible for monitoring customer accounts to ensure timely payment and resolving chargebacks and disputes efficiently. This role involves assessing creditworthiness ensuring compliance with company policies analyzing payment trends and collaborating with internal teams such as sales and customer service to resolve billing discrepancies. The analyst will also create reports on accounts receivable metrics maintain accurate records and proactively identify and mitigate financial risks.

Essential Functions (include but not limited to):

  • Responsible for maintaining all master data for customer accounts including pricing
  • Prepares rebates for customers and buying groups based on sales
  • Assist in additional projects/duties as requested
  • Collect customer payments in accordance with payment terms
  • Follow up with customers who have overdue or impending invoices to determine when payment can be expected
  • Phone & email correspondence to customers to encourage payment of delinquent accounts
  • Posting customer payments (checks ACHs and wires); includes sorting scanning and processing checks in company bank portal
  • Prepare and review customer account reconciliations
  • Investigate and resolve customer queries in a professional manner
  • issue credit memos as requested by authorized parties
  • Process customer prepayments via credit card & ACH releasing pending orders
  • Maintain trackers in SharePoint for credit card transactions ACHs received pending deductions orders on hold and open cases

Qualifications/Requirements:

  • High School Diploma or GED
  • Must be 18 years of age or older
  • Must be legally authorized to work in the United States and have IDs needed to verify
  • English proficient (reading writing speaking comprehension)
  • Computer savvy; proficient with Microsoft Office especially Excel

Education/Experience/License Requirements:

  • Associates Degree in Accounting or closely related field or two plus years equivalent work experience
  • At least 2 years accounting experience specifically with accounts receivable
  • At least 1 year experiencing working in manufacturing or distribution company highly preferred
  • Experience with an ERP Software; Oracle NetSuite specifically is a plus
  • Working knowledge of GAAP
  • Experience with Vendor Portals is a plus
  • Administrative experience (answering phones filing faxing scanning etc.

MUST HAVE:

Ability to prioritize effectively and operate efficiently; timemanagement skills and application of sound judgment to make rational decisions; ability to recognize opportunities and evoke change where applicable; strong follow up skills; interpersonal skills; excellent communication skills; attention to detail and process orientation; problem solving skills.

Sensory Requirements: Should have working use of hearing and vision with or without the use of corrective lenses/hearing aids to be able to read paperwork work on a computer screen for an extended period of time and frequently speak on the phone.

Environmental: N/A indoor office environment

Language Skills: English proficiency required (reading writing speaking comprehension). Knowledge of an additional language(s) is a plus!

Mathematical Skills: Basic arithmetic and algebra

Reasoning Ability: Wide latitude for independent judgment so must have logical and rational thinking patterns. Must be able to prioritize effectively time manage and must have great interpersonal skills and the ability to guide others.
