General Summary
Reporting to the Vice President of StrategicPlanning and Implementation assists in planning programs workshops eventsand meetings to support McLeans organizational transformation and strategicplanning initiatives including but not limited to professional developmentworkshops workforce training employee recognition staff health and wellnessprogramming diversity and inclusion events customer service and service excellenceinitiatives.
Performs a variety of duties to provideadministrative support to the President of the Hospital and Vice President ofStrategic Planning and Implementation. Closely works with the ExecutiveAssistant to the President. Serves as primary support to President whenExecutive Assistant is unavailable.
Principal Duties and Responsibilities:
Assists in planning programs workshopsevents and meetings to support McLeans organizational transformation andstrategic planning initiatives including but not limited to professionaldevelopment workshops workforce training employee recognition staff healthand wellness programming diversity and inclusion events customer service andservice excellence initiatives.
- Manages multiple complicated schedules and sets up meetings including arranging catering room and audiovisual/computer setups and visitor parking as needed and preparing materials for distribution.
- Assists the Executive Assistant to the President with general office functions including monitoring department supplies and equipment and preparing and processing requests for each to ensure adequate inventory of supplies and proper maintenance of equipment. Serves as primary support to President when Executive Assistant is unavailable.
- Supports McLean employee and contracted staff employee recognition processes including scheduling committee meetings and recipient celebrations and preparing congratulatory letters.
- Answers phones as needed.
- Makes travel arrangements for President including complex air ground lodging and conference arrangements.
- Processes conflict of interest forms.
- Prepares expense reimbursement requests.
- Enters new hire data for hospitalbased tracking systems (i.e. RL Solutions)
- Organizes office operations and systems
- Prepares statistical operating and administrative reports as required by hospital or external sources.
- Maintains department fiscal reporting systems and records.
- Monitors budget performance pertaining to the department analyzes variances verify accuracy or otherwise respond to management requests relative to budgetary issues pertaining to the department. May need to assist with developing preparing and ongoing management of grants specific to the department.
- As time permits assists with focused projects that can include collecting/analyzing data developing/administering surveys and preparing memos/presentations.
- Assists with other assignments as needed.

- Requires substantial demonstrated ability in problem solving multitasking attention to detail and followthrough working collaboratively independent action and initiative exercise of judgment and discretion and respecting privacy and maintaining confidentiality. Strong analytic skills preferred.
- Job requires excellent and warm interpersonal and communication skills. Appropriate demeanor for Presidents Office. Experience working with a wide range of people including high level colleagues business partners employees visitors and the public is strongly preferred.
- Technically savvy: Strong Microsoft Word Powerpoint Excel and Outlook skills needed. Experience using PeopleSoft/Kronos preferred. Must be able to use a variety of jobspecific applications and electronic systems to complete registrations and access/upload/download documents on behalf of the President and VP. Required to complete annual trainings and maintain personal employment data.
