Position Summary:
MarshBerry is currently seeking an Executive Assistant for our Plano TX office. The Executive Assistant will provide professional support and valueadded services to MarshBerry executives and sales team. The Executive Assistant will maintain executive calendars schedule and coordinate meetings and events facilitate travel prepare prospect lists maintain the CRM prepare reports and presentations and various other administrative duties. The Executive Assistant will be responsible for office management and facilities support.
Responsibilities:
- Provide highlevel administrative support to Executives and sales team to maintain excellent service to clients and prospects.
- Manage and maintain schedules; research plan and make travel arrangements for assigned team members and clients as needed. Complete expense reports.
- Coordinate internal and external meetings; prepare agenda communicate details and attend meetings as required to record and distribute minutes.
- Perform complex and confidential administrative functions including developing compiling and preparing various client ready reports memos and letters. Format reports and presentations resulting in error free documents.
- Regularly updates the Client Relationship Management (CRM) software with relevant information as it becomes available including but not limited to adding new accounts/prospects and handling initial research/prioritization.
- Produces and maintains various reports. Generates prospect lists and provides regular updates to team.
- Provides office and facilities support including correspondence with building management keeps common areas tidy ordering supplies stocking common areas submitting IT requests and troubleshooting basic IT issues and other office management responsibilities.
- Coordinates employee events in conjunction with MarshBerry culture committees.
- Communicates effectively to both internal and external customers through written
- Provides back up support to administrative support team and handles AdminDesk submissions as needed.
- Review operating practices and procedures to determine whether improvements can be made in areas such as workflow reporting procedures or expenditures
- Cultivates and maintains effective relationships with potential internal/external clients partners and stakeholders that can directly or indirectly lead to revenue generation for all MarshBerry services.
- Additional responsibilities and projects as assigned.
Selection Criteria
Education & Experience:
- High School diploma required. Associates or bachelors degree preferred.
- Certification or advanced administrative training preferred.
- Minimum of five years of executive assistant experience.
- Proficient with technology; Microsoft Word Excel Power Point and Access or similar database. Advanced knowledge of Microsoft Office especially Excel and Power Point is strongly preferred.

- Exceptional organizational skills; using systematic methods to perform work and creativity to recommend or create new work methods or procedures
- Ability to multi task; able to complete projects and responsibilities with extreme attention to detail according to required timelines and deadlines along with capacity to work under pressure to create accurate results demonstrating accuracy and thoroughness and monitors work to ensure quality
- Ability to lift up to 25 pounds.
