Job Description

Overview

Position Summary:

Oversee the planning and successful completion of the Epic Electronic Health Record (EHR) implementation. This senior leadership role is critical to ensuring the alignment of project goals with organizational objectives ontime delivery and adherence to budgetary constraints. Collaborate with executive sponsors clinical leaders IT professionals and external Epic consultants to implement a cohesive integrated EHR system that optimizes clinical workflows and enhances patient care.

Required to be onsite at least 3 days per week.

Expect to travel to Madison WI for 23 weeks over the summer based on the specific certification track needed for your application. More detail will be provided as the course catalog is finalized for offerings

Qualifications

Education:

Bachelors degree in Healthcare Administration Information Technology Business Management or a related field (Masters degree preferred).

License/Certifications:

  • PMP (Project Management Professional) certification preferred.
  • Epic certification(s) in relevant modules or demonstrated experience managing Epic implementations is a strong advantage.

Experience:

  • 5 years of verifiable experience in Electronic Health Record (EHR) program management preferably in Epic including at least 3 years in a supervisory capacity.
  • 5 years of progressive clinical or operational leadership experience with a minimum of 2 years managing highperforming teams.
  • Proven ability to lead Epic implementations or similar EHR projects ensuring alignment with organizational goals seamless integration and optimized clinical workflows.
  • Demonstrated success in managing largescale crossfunctional teams while overseeing EHR system deployment enhancement and adoption.

Responsibilities

Principal Duties & Responsibilities:

  1. Develop and execute a comprehensive EHR strategy and roadmap ensuring alignment with organizational objectives and industry best practices.
  2. Serve as the primary liaison between executive sponsors stakeholders IT leadership and project teams ensuring seamless communication and collaboration.
  3. Advocate for Epic best practices encouraging adoption of standardized workflows to optimize efficiency and clinical outcomes.
  4. Keep up with of emerging trends Epic updates and regulatory changes that impact the system and provide strategic recommendations.
  5. Lead all phases of Epic implementation and optimization including system design build testing training golive and postgolive support.
  6. Monitor project progress proactively identify risks and interdependencies and implement mitigation strategies.
  7. Ensure adherence to timeline scope and budget constraints adjusting strategies as necessary to keep the project on track.
  8. Develop KPIs and reporting mechanisms to measure project success presenting regular updates to executive leadership.
  9. Lead and manage crossfunctional project teams including analysts trainers clinical informaticists and technical staff.
  10. Oversee the hiring onboarding certification and training of Epic project staff ensuring high competency levels.
  11. Collaborate with clinical operational and administrative leaders to assess workflows validate system design and drive adoption.
  12. Facilitate stakeholder meetings workshops and leadership updates to ensure alignment and informed decisionmaking.
  13. Manage the Epic program budget ensuring sustainability and costeffectiveness.
  14. Oversee financial planning including costtobudget forecasting invoice approvals and purchase order authorizations.
  15. Negotiate and manage contracts with Epic representatives and thirdparty vendors ensuring deliverables align with organizational needs.
  16. Coordinate vendor site visits system demonstrations and consultant engagements.
  17. Develop and execute change management strategies to promote enduser adoption and minimize resistance.
  18. Work closely with HR and training teams to create and deploy comprehensive training programs for clinicians administrators and IT staff.
  19. Facilitate enduser engagement through workshops feedback sessions and ongoing system improvements.
  20. Ensure compliance with industry standards and regulations (e.g. HIPAA Joint Commission CMS requirements).
  21. Establish governance models and policies to maintain data integrity security and confidentiality.
  22. Define and monitor Epic system KPIs to evaluate performance user adoption and system effectiveness.
  23. Partner with leadership teams to ensure the longterm sustainability and evolution of the EHR system.
