The role requires performing a variety of tasks including clerical record keeping and database management as well as the implementation of policies and procedures related to operations. The Operations Associate is an important person in the public relations and communications aspects with caregivers community members and our vendors. The Operations Associate must be highly organized work as a collaborative team member and understand the importance of being supportive and responsible to our students families and staff.ResponsibilitiesServe as the initial face of the school interacting inperson with parents/guardians and the public in general facilitating effective twoway communication between the school and the publicAnswer phones and take accurate messages ensuring they go to the correct staff in a timely mannerTranslate documents from English to Spanish with attention to colloquialismsInterpret for meetings requiring Spanish with attention to colloquialismsMake phone calls on behalf of staffManage dismissal documentsCommunicate with agencies and organizations that have dealings with the schoolKeep office organized and cleanFiling accuratelyMaintain student staff and parent confidentiality in a public settingScreening and checking visitors in and outSet up robocallsRegularly perform audits of the database to identify errors needed updates and omissionsManage key aspects of database and data cleanupGenerate basic reports from the database for various staff membersRun training sessions for a wide audience of learners in both group and onetoone situations (i.e how to run a report how to read the dismissal documents etc.)QualitiesSuccessful candidates will be able to demonstrate the following qualities:Ability to multitask and work at a high pace when neededAbility to prioritize and reprioritize as neededAbility to maintain confidentialityAbility to provide excellent customer service in a busy office environmentAbility to work with lots of peopleAbility to work under stress and manage multiple prioritiesConsistent positive attitude even under stressProblem solverTeam playerSome experience in a school setting or a receptionist setting preferredAbility and desire to learn on the job expand expertise and to constantly improveAbility to sit for extended periodsHighly organized with time management physical space and with electronic documentsQualificationsBilingual (Spanish/English) preferredProficient in reading and writing in Spanish preferredTranslation and/or interpretation certification preferredProficient typing skills (approximately 50 words per minute or higher)Minimally moderate experience using computer applications like writing documents spreadsheets presentation software and using and managing email and working with databasesExperience with GSuites is strongly preferredPrevious experience with Power School SIS preferred.Minimally a high school diploma but Associates degree or higher preferredHours 9:30am6:00pm MTh 8:00am4:00pm FridaysPay $2024 per hr commensurate with experience and education
