Job Description

OVERVIEW

The FullTime HR and Office Manager is responsible for overseeing human resources functions and managing office operations ensuring a smooth and efficient work environment.

ESSENTIAL FUNCTIONS

Human Resources Management

  • Hiring Onboarding & Offboarding Manage the hiring onboarding & offboarding processes working with and training supervisors and assuring supervisors and other staff have completed their parts effectively.
  • Job Descriptions Maintain and update job descriptions creating and implementing a process for annual updates; work with supervisors in creating job descriptions for new positions.
  • Review Process Manage the annual review process initiating the monthly review cycles communicating with and training supervisors as needed and following up with staff to ensure completion.
  • HR Policy Compliance & Best Practices
    • Provide guidance and support to management and staff regarding HR policies and procedures.
    • Train supervisors on legal responsibilities timesheet and timeoff approvals and employment law compliance.
    • Ensure adherence to federal state and local employment laws and regulations.
    • Regularly review HR policies and best practices recommending updates as needed.
    • Conduct an annual review of the Staff Handbook updating as necessary.
    • Maintain knowledge of trends best practices regulatory changes new technologies in human resources and employment law recommending changes as needed.
  • Compensation Complete annual salary surveys review and analyze compensation data and prepare reports for staff compensation determinations.
  • HR Technology Serve as the administrator of Leadr (people development software) and Bamboo (HRMS software) championing their use training equipping and resourcing staff & supervisors.
  • Workers Compensation Manage submission of first report of injury forms and coordination of workers compensation claims.
  • HR Related Projects and Initiatives Assist the Sr. Director of Finance and Operations with HR related projects and initiatives.

Office Management

  • Oversee Front Desk Representatives ensuring efficient operations and a welcoming environment.
  • Manage office space including assigning offices and cubicles based on staff needs.
  • Manage and order office furniture as needed.
  • Recommend policies as needed for the use of building space.
  • Collaborate with administrative coordinators to resolve building space conflicts.
  • Respond to External Facility Use Requests.
  • Manage and oversee the office budget.
  • Assist the Sr. Director of Finance and Operations with officerelated projects and initiatives.

COMPETENCIES

  • Bachelors Degree
  • HR certification preferred
  • Knowledge of state and federal employment laws and regulations
  • Experience in developing and implementing HR policies procedures and programs
  • Demonstrated ability to analyze information situations and procedures to develop effective solutions
  • Clear and articulate communicator
  • Skilled in policy writing
  • Attention to detail
  • Highly proficient with technology including Microsoft Office applications (Excel Word etc.
  • A general understanding and value for Gods vision for racial unity and justice

SCHEDULE

  • 1x Per Week Meet with Sr. Director of Finance & Operations
  • 1x Per Week Attend the weekly All Staff Meetings on Tuesday mornings
  • 1x Per Week Attend the weekly All Staff Prayer Pause
  • 1x Per Year Participate in the AllStaff Retreat typically in June
  • 1x Per Month Admin Meeting
  • Christmas Eve Easter Sunday Gatherings
  • As Needed Initiate / attend project specific meetings

RELATIONSHIPS

  • Reports to: Sr. Director of Finance & Operations
  • Oversee: Front Desk Representatives
  • Works Closely with: Supervisors and Administrative Coordinators
