Position Summary
The Communications Administrator/Receptionist plays a vital role in ensuring seamless communication within the club and delivering exceptional service to our members and guests. This position is responsible for front desk operations member communications and administrative tasks The ideal candidate is highly organized detailoriented and proficient in technology website management and clubrelated communications.
Key Responsibilities
Reception and Member Services
- Greet and assist members and guests in a professional and friendly manner.
- Answer phone calls and inquiries directing them to the appropriate department.
- Manage incoming calls forwarding them to the proper extensions or voicemail as needed.
- Maintain a clean and organized office area including supply and decor closets.
- Place orders for office supplies when necessary.
Administrative and Office Support
- Perform general office duties: printing scanning faxing copying and filing paperwork.
- Assist with special projects as assigned by management.
- Create mailing labels stuff envelopes and prepare mailings for distribution.
- Receive sort and distribute mail and deliveries.
- Manage outgoing mail and packages for pickup.
Communications and Marketing
- Design menus for restaurants bars and events.
- Print daily menus for all dining areas.
- Create flyers and buffet signs for club events.
- Handle clubwide communications to members ensuring timely and accurate updates.
- Prepare the weekly newsletter (sent every Monday at 9:00 AM; scheduled on Sundays).
- Manage and maintain website content ensuring accuracy and uptodate information.
- Create and update event listings on the website manage reservations and close reservations as needed.
- Take photos of club events to include in newsletters emails and the website.
Reservations and Event Coordination
- Handle dining reservations via phone or email and update the clubs reservation system.
- Create and manage event signups and calendar updates.
- Ensure smooth member communication regarding events reservations and special notices.
Technical and Software Proficiency
- Strong skills in Microsoft Publisher Excel Word Canva and PowerPoint.
- Experience with webbased applications website management and Jonas software.
- Excellent typing skills (speed and accuracy required).
Other Duties
- Perform additional tasks as assigned by the Membership and Administration Coordinator.

Work Schedule
- Wednesday to Sunday 9:00 AM 5:30 PM (flexibility required as needed).
- Schedule includes weekends and holidays.
- Evening or alternate hours may be required based on club events and operational needs.
