Job Opening Description

Logistics is responsible for procurement warehousing distribution and materials management of goods and services to support the operational mission of the fire district. The Logistics Technician is also responsible for delivery and distribution of all supplies equipment and interoffice mail to all fire district facilities. Assists the Logistics Manager with inventory management and warehousing purchase requests fixed asset record management and general maintenance of the fire districts supply system and facility.

Supervisory Responsibility:

There are no supervisory responsibilities for this position.

Interpersonal Contacts:

Has regular contact with others both inside and outside the organization. The most common internal contacts are with our own department staff all career and volunteer staff. The most frequent external contacts are with other fire agencies business associations and vendors. Internal and external interactions involve information exchange problem solving and negotiation.

Contacts (internal and external) are made via emails phone calls or in person. Internal contacts may contain some discussion about confidential/sensitive matters.

Job Conditions:

This is an inperson with a 5/8 schedule from Monday to Friday. The standard working hours are from 8:00 am to 4:00 pm. Hybrid work or work from home arrangements are not available for this position. This position requires working independently and involves frequent driving with daytoday variations in tasks. Working outside in varying weather and temperature conditions with frequent exposure to hazards such as extreme temperatures dust loud noises dim lighting smoke fumes chemicals airborne pathogens and other hazards. Additionally there will be occasional exposure to inclement weather blood fire and other environmental adversities that may be encountered in the performance of essential functions.

Specific Job Skills:

  • Understands fire service/EMS chain of command and culture. Display a willingness to continually learn (fire equipment EMS supplies etc.
  • Experience with or ability to learn specialized software. Able to be a super user with District ERP software for Requisitions Purchase Orders Change Orders Inventory Transactions Purchase Card Transactions Pick Tickets Items PO Receiving and Contracts Central.
  • Ability to work in stressful situations with frequent interruptions and the ability to remain calm in emergency situations.
  • Knowledge of office record keeping report preparation and computer applications that allow for the effective management of incumbents assigned office or work location.
  • Ability to type accurately and proficiently using wordprocessing and other personal computer software applications and office equipment skillfully.
  • Ability to effectively and positively represent the District through actions and observable behaviors.
  • Ability to perform those physical activities required to perform the essential functions including but not limited to regular sitting and standing continuously being mobile continually talking and hearing in person and over the phone to a wide variety of people and regular keyboarding. Will also require occasional kneeling stooping bending twisting turning and all other physical activities as required in the performance of duties and responsibilities.
  • Ability to work independently or to work cohesively in a teamoriented environment with a high level of customer service and courtesy.

Duties and Responsibilities

Primary Duties:

  • Interpret data on logistics elements such as availability maintainability reliability supply chain management strategic sourcing or distribution supplier management or transportation.
  • Research and order products equipment and service to support the districts logistics warehouse; works with vendor representatives to request pricing.
  • Understands availability of contracts and cooperative purchasing options. Adhering to the districts purchasing policy and the State of Oregons Public Contracting Rules.
  • Verifies purchases (purchase order credit card or inventory issue) are charged to the correct general ledger account and paperwork has been submitted according to the districts Purchasing policy ensuring correct information for financial reporting.
  • Works closely with Finance to ensure vendors get paid correctly and timely whether it is for goods or services provided to the fire district. This includes creating receiving and printing purchase orders. Ensures all packing slips Purchase Requisition Order Forms quotes etc. are sent to finance.
  • Generates billing of outside agency orders for finance. Works with vendor representatives and outside agency customers to reconcile product and billing discrepancies returns/credits and resolves problems timely.
  • Responsible for the maintenance of inventory which includes purchasing receiving issuing cycle counting and full counts of stock items. Monitors and adjusts inventory levels to ensure cost effectiveness and availability of supplies.
  • Prepares and submits purchase orders using min/max levels reports and understanding of customer order habits and needs. Develops and maintains general knowledge of products their use and possible alternatives.
  • Monitors and maintains a variety of manual and electronic procurement records to track information such as items purchased contract options materials and supplies used and maintains an uptodate inventory by using a computer system. Enters and tracks data into computerized systems.
  • Makes recommendations for improving procedures and cost control measures by conducting research and working with vendors as a way to increase efficiency in purchasing warehousing and distribution of supplies and materials.
  • Assists with all aspects of security and inventory control at the warehouse.
  • Attends and participates in committees and meetings as needed and/or assigned.
  • Includes responsibilities for driving receiving pulling orders and unloading/loading boxes.Delivers all goods and supplies to District facilities. Assists with multiple requests to move items around the District to vendors and other locations as needed.

Secondary Functions:

  • Act as backup to other logistics personnel during absences or during peak workloads.
  • Maintain clean and orderly work areas; assists with organizing the warehouse facility and storage areas to ensure safety accessibility and orderliness.
  • Issues ID badges as requested.
  • May pick up and deliver parts from local vendors as directed.
  • Makes sure warehouse and storage areas are clean organized and free from debris.
  • Coordinate and track the turnout cache. Facilitate and communicate with the vendor and firefighters the annual cleaning and maintenance of turnouts for career and volunteer staff.
  • Assist new hires and promotions with uniform and business items including sizing and ordering of items.
  • Assist with selling District surplus tools and equipment using Govdeals platform and other approved methods. Follow up with the winning bidder and finance as needed.
  • Other duties as assigned to help meet the districts mission. May be required to be at work early or late to facilitate district need in a largescale event.

Qualifications

Minimum

  • High school diploma GED or college degree
  • Valid drivers license and acceptable driving record
  • 13 years of progressively responsible office experience working in logistics or warehouse.

Preferred

  • Current or past Clackamas Fire Volunteer
  • Experience with delivery systems purchasing receiving and warehousing
  • Experience with Microsoft Office Suites Outlook Word and Excel
  • Excellent public relations
  • Excellent written and verbal communication skills
