DURATION: six months April to October 2025
BACKGROUND AND PURPOSE OF THE ASSIGNMENT:
The establishment of a Corporate Planning & Performance Division (CPP) bringing together the budget and performance management offices is expected to enable increased oversight on the entire resource management process ensure optimized funds utilization and facilitate all the phases of the performance management cycle (planning through monitoring and reporting).
While the transition to this new set up has made progress in many ways there are stili a few more steps to get to the finish line. These times continues to require a consistent information flow embracing technology and promoting innovative thinking to ensure that all concerned staff members are properly informed about changes stemming from the rearrangement and their implications on their daily wor.k. The communications and knowledge managemenf speciallst will develop disseminate and coordinate internal and external divisional communications draft statements and respond to inquiries compile publications pian events and conferences increase awareness of the teams services and ensure standard up to date and easily accessible guidelines. The communication expert will provide strategie guidance support and implementation of the following key areas of responsibility:
KEY ACCOUNTABIUTIES/RESPONSIBILITIES:
COMMUNICATIONS
Maintain and a divisional communications strategy.
Contribute to the development of business planning and strategy as well as provide inputs for the functlonal work pian in compliance with WFP policies standards and strategy.
Work with key internal roleplayers to brainstorm content ideas in line with the divisions strategy and in support of various brand initiatives.
Communicate business objectives requirements and processes to ensure common understanding of CPP services amongst stakeholders.
Manage a database of divisional communication tools such as phoographs templates forms etc. for use in different fora.
Prepare and disseminate divisionwide communications through multiple means (e.g. emails online platforms infographics factsheets posters etc. ensuring relevant highquality errorfree and appropriate content adherence to the organisations style guide in a timely and regular manner.
Monitor and curate divisional information on corporate platforms such as the WFPgo Sharepoint keepingit up to date with necessary divisional information.
Contribute to the review of documents communicating divisional priorities and messaging.
Build and maintain relationships with key roleplayers e.g. Corporate Communications and
Knowledge Management working groups to ensure CPP visibility.
Otner related duties as assigned
KNOWLEDGE MANAGEMENT AND LEARNING AND DEVELOPMENT
Support the lmplementation of the division Knowledge Management Strategy.
Acquire and maintain a detailed knowledge of the organisations policies principles and strategies and to keep up to date with relvant developments.
Collect and structure information in formats that can easily be stored in physical as well as digitai format in efforts to promote learning through different platforms.
Ensure that available divisional information 1s adequately protected in collaboration with the relevant IT teams so that it cannot be manipulated destroyed or otherwlse get lnfected by virus trojan malware etc.
Support the identification and prioritization of training needs as well as the preparation coordination and delivery of trainings and meetings for/to the B&P community and beyond as organised by the division.
Contribute and support the development update and posting of the latest manuals and guidelines.
Other related duties as assigned.
DELIVERABLES AT THE END OF THE CONTRACT:
A fully developed communications strategy implemented to a large extent.
Operational CPP WFPGo and communities pages that engage the functional communities in different ways.
Monthly communications to the B&P community (within CPP and beyond).
An operatioal B&P learning path on the corporate Welearn Platform.
Updated fnctionrelevant photo collection for use in various communications.
A divisional SharePoint set up and maintained to facilitate divisional knowledge management.
QUALIFICATIONS & EXPERIENCE REQUIRED:
Education: University Degree and/or equivalent eperience with emphasis in one or more of the following disciplines: Communications Journalism Public Relations Sodai Science or other relevant field or First University degree with additional years of related work experience and/ or trainings/courses.
Experience: Typically three year or more ofpostgraduate professional expetience in a relevant field of work with a background and interest in international humanitarian development.
Knowledge & Skills: Generai knowledge of information management best practices techniques
and processes with some understanding of basic theoretical background.
Exceptional writing and oral communication skills including substantive analysis and report writing skills.
Experience in communications strategy development.
Excellent communicator who can initiate and continue interactions with the people who share their insights and knowledge.
Strategie and creative thinker with a meticulous attention to detail working well under pressure and meeting deadlines.
Excellent interpersonal (e.g. confident positive and friendly attltude) and communlcation skills with the ability to multitask and adapt in a fastpaced environment.
Innovative organized and selfmotivated with a keen interest in driving strategie messages to key internal and external roleplayers.
Knowledge of or the ability to quickly assimilate UN/WFP specific processes
and systems.
Languages: Working knowledge of English and advanced knowledge of other UN language i.e. Spanish Mabic French Portuguese Chinese Russian.
