Construction Project Coordinator 1
Department: Construction
Reports to: Construction Project Manager 2
Time Commitment: FullTime; NonExempt
Level: E

Who You Are:
You are a Project Engineer playing a crucial role in ensuring the successful construction of new affordable homes. You support the Project Management Team by handling the coordination and documentation needed to keep projects moving forward. From the initial concept through design review permitting site development and construction all the way to final certifications and asbuilt documentation you serve as the central information hub helping to turn plans into reality.

Youll be responsible for:
Essential Duties 10
- Coordinate with the Director of Project Development Director of Construction Project Managers and crossdepartmentally as needed to ensure that assigned projects can proceed on time and within budget.
- Participate in construction crossdepartmental external and weekly project team meetings.
- Administer and utilize multiple project management software tools Procore Smartsheet
- Assist Project Manager II and Director of Land and Project Development in crafting documenting and maintaining departmental processes and templates.
- Set and work on quarterly objectives associated with process development personal growth and training.
Document / Information Control 10
- Manage digital documentation during land acquisition preconstruction and construction phases.
- Act as the liaison between the Construction Department and other Habitat Departments to ensure that all documentation is provided as necessary and/or is easily accessible.
- Manage all permit documents drawings revisions and submittals.
- Regularly update vendor database
- Facilitate project meetings and manage meeting minutes and action items
Land Leads and Predevelopment Tasks 10
- Assist Director of Land Development and Project Manager with various due diligence / site feasibility tasks including executing contracts with professional service providers
- Assist Project Manager in setting up projects in Procore and Smartsheet
- Collaborate with City Representatives to complete HUD Environmental Review
- Assist Project Manager in developing project budgets and schedules.
Contract Procurement and Management 40
- Work with project team to compile accurate scopes of work.
- Create bid packages in Procore (construction project management software) and send requests for bids (RFBs) to contractors for all scopes of work.
- Coordinate and document all outreach with bidders/subcontractors throughout the RFB process.
- Manage bid comparison contractor selection and contract approval processes.
- Facilitate precontract meetings with the project team and new trades to discuss the project determine SOV (schedule of values) and to review the project in detail before any work begins.
- Create execute and manage all contracts in Procore.
- Review enter and code invoices on a weekly basis checking for accuracy and completion of work.
- Develop and maintain good working relationships with our vendors and trades.
- Issue and track all change orders.
- Regularly update project information and budget in multiple information sharing locations.
- Reconcile accounts and close out all contracts by end of project.
Material Order Management 20
- Assist Project Manager with producing material takeoffs and estimates.
- Procure all material purchase orders from suppliers.
- Secure all material submittals route for appropriate reviews and document in Procore.
- Coordinate with Superintendent and suppliers to ensure ontime delivery of materials.
- Order and track giftinkind material donations from suppliers and Habitat for Humanity International
- Manage commercial account (Home Depot Lowes) invoice processes in collaboration with Accountant.
Project CloseOut 10
- Perform onsite punch walks at precover and prehomeowner orientation and document punch items on Procore for site team to complete.
- Create homeowner manual for each project from template.
- Perform homebuyer orientations on completed homes prior to sales.
To be successful in this role youll**:
- Minimum of 3 Years experience in construction administration
- Working knowledge of construction documents (plans and specifications)
- Proficiency with MS Word (Excel Word Outlook)
- Ability to work within multidisciplinary team
- Ability to work independently as well as a part of a team
- Lean and thoughtful timemanagement skills
- Ability to communicate with outside stakeholders trade partners and vendors
- Actively anticipates team needs takes initiative to solve problems and contributes to a collaborative solutionsfocused environment.
- Understanding of construction contracts and construction terminology and plan reading.
**Any combination of formal education paid work experience unpaid/volunteer experience and life experience will be considered.
To be considered above and beyond the average candidate in this role youll also:
- Any qualifying combination of education certification and experience that demonstrates the ability to perform the duties of the position.
- Basic skills with Procore. Knowledge of Smartsheet is helpful.
- Ability to solve problems and make decisions
Your work environment and physical demands:
- Your workday will be located in a humanpaced teamoriented businesscasual style office setting.
- Depending on the positions responsibilities you may be eligible for remote/hybrid work based on performance and access to essential workrelated resources.
- While in the office you will routinely use standard office equipment such as computers phones photocopiers filing cabinets and fax machines.
- An officebased role means that your day will be mostly sedentary with some time spent moving files open filing cabinets bending and/or standing on a stool as necessary.
- Occasionally you will travel between other Habitat locations or temporary worksites.
Your Work Schedule:
- 40hour work week generally Monday Friday 8:30am4:30pm
- Occasionally you may be asked to work overtime
Your Compensation:
We aim to offer equitable pay and benefits and are committed to transparency in compensation. Basing compensation on a candidates willingness and/or ability to negotiate leads to inequities and bias in how employees are compensated.
We determine the best possible compensation offer based on base qualifications relevant experience internal equity and the candidates competencies for the role demonstrated during the hiring process. Successful candidates are typically hired within the first half of the Pay Range and receive scheduled incremental increases. When starting in this position your compensation will generally be between $25.74 per hour to wage range midpoint of $31.37 per hour. The full range for this position is $25.74 per hour to $37.33 per hour.
