Job Title: Facilities Associate
Reports to: Executive Director
FSLA: NonExempt FullTime
Date Reviewed: November 2024

Job Summary: The Facilities Associate holds a pivotal role in overseeing the seamless daytoday operations of Workshops Empowerment Inc. This includes ensuring the timely completion or coordination of daily weekly monthly and yearly services as well as the of longterm capital projects. The scope of responsibility encompasses oversight of facility maintenance mechanical operations cleanliness and security.
Additionally the Facilities Associate plays a role in training a dedicated internship team all of whom are actively engaged in jobseeking activities.
Work Hours: Monday Friday 6:30 AM 3:00 PM

Qualifications:
  • Education and Experience:
    • Associates degree preferred in Facilities Management Business Administration Engineering/Pre Engineering or a related field technical field.
    • Proven experience in facilities management with a track record of successful operations (two years minimum).
  • Technical Skills:
    • Strong understanding of facility operations maintenance and security.
    • General knowledge of building systems HVAC electrical and plumbing systems.
    • Proficiency in using facility management software and other relevant tools.
    • General knowledge of health and safety regulations building codes and other relevant compliance requirements.
  • Project Management and Communication Skills:
    • Ability to manage multiple projects simultaneously.
    • Possession of verbal and written communication skills.
    • Ability to communicate effectively and collaboratively with team members senior management and external stakeholders.
  • Problem Solving:
    • Strong problemsolving skills and a sense of urgency.
    • Ability to make informed decisions.
  • Organizational Skills:
    • Strong organizational and time management skills.
    • Attention to detail in overseeing daytoday operations and longterm projects.
    • Ability to adapt to changing priorities and handle unexpected challenges.
  • Certifications:
    • Relevant certifications such as Certified Facility Manager (CFM) or Facility Management Professional (FMP) may be beneficial.
    • Experience working with people from diverse backgrounds and experiences.
    • Commitment to obtain necessary certifications within nine 9 months.
    • Ability to pass a background check.
Job Responsibilities
Provide Relevant Learning Opportunities and Facilitate Program Participants:
  • Oversees all safety maintenance and custodial staff providing a safe and clean environment engaging each team member in a way that allows them to grow at their own abilities.
  • Works collaboratively with appropriate coworkers to address any participant behavior concerns.
  • Models positive work habits to program participants.
  • Provides direction on work prioritization and coordination to safety maintenance and custodial team members to ensure all opening/closing cleaning room setups and breakdowns repairs and grounds maintenance and upkeep are done appropriately and in a timely manner.
General Duties:
  • Adheres to the organizations procurement policy and procedures.
  • Ensures that all facilities and equipment meet or exceeds all applicable local state and national codes and regulations.
  • Fosters collaborative culture by partnering with departments to identify prioritize and meet their facility needs.
  • Provides expertise and advice regarding facilities equipment and systems to improve performance reduce environmental impact and reduce costs.
  • Oversees outside contractors including all maintenance contracts and vendor relationships as well as solicit bids.
  • Takes responsibility for the upkeep and cleanliness of the facility and all its systems including HVAC electrical water security and life safety and implements a robust preventative maintenance program.
  • Maintains proper working condition security and surveillance systems in buildings and on campus.
  • Oversees the organizations Threats Vulnerabilities and Risk Assessment to ensure critical areas are addressed.
  • Available for building emergencies on evenings and weekends.
  • Ensures facility is opened each morning.
Administrative Duties:
  • Follows policies and procedures of Workshops Empowerment Inc.
  • Respects confidentiality of team members and individuals served.
  • Attend all staff meetings/training as required as well as serving on appropriate committees as requested.
  • Manages each facilitys team member in training and maintain case notes about each applicable team member.
  • Communicates program concerns immediately to the Executive Director.
  • Completes any daily weekly or monthly paperwork as it ties into the assigned role.
  • Works closely with Executive Director and Director of Finance to develop and monitor budgets for the maintenance department.
  • Tracks shortterm and longterm facility expenses equipment and resource needs of company and staff.
  • Reviews utility bills each month and determines any discrepancies. Addresses these discrepancies.
  • Maintains all receipts records and quotes to ensure facility operates within approved budget.
  • Monitors maintains repairs replaces and receives approval to purchase all systems equipment central supplies including HVAC cleaning supplies security/alarms fire extinguishers paper goods and other supplies.
  • Maintains inventory of all equipment supplies as well as door and vehicle keys.
  • Ensures campus meets ADA laws and regulations.
  • Work closely with administrative staff in formulating procedures for use in the event of accidents fires or other emergencies.

Typical Physical Demands (The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.:
  • Work may require sitting standing climbing squatting and walking for long periods of time as well as stooping bending and reaching (with hands and arms).
  • Specific vision capabilities required by this job include close vision distance vision and peripheral vision.
  • Requires the use of hands for simple grasping and fine manipulations.
  • Requires the ability to lift carry push or pull weights up to 50 lbs.

Typical Working Conditions:
  • Office/warehouse/retail environment
  • Contact with staff employees and the public is required.
  • Requires the ability to communicate effectively using speech vision and hearing.

Salary Range:
  • $46000.00 $54500.00
