Description

The Hennepin County Attorneys Office is seeking to fill a Legal Secretary position in the Child Support division and future vacancies across the department. The legal secretary will provide administrative and clerical support to multiple attorneys.

Location and hours:
Most positions are hybrid with some being remote. Hybrid positions will be performed both onsite at either the Hennepin County Government Center 300 South 6th Street Minneapolis MN 55487 or at the Hennepin County Health Services Building 525 Portland Avenue South Minneapolis MN 55415 and remote as job duties require. Work hours will be Monday through Friday 7:30 a.m. to 5 p.m. depending on the division assignment. Remote workers may be required to come onsite 0 to 12 days a year for work meetings trainings or for any other reasons that their supervisor may deem necessary (may include additional days for onboarding and new employee training). Supervisors will provide as much advance notice as practicable.

Based on current requirements hires must reside in or relocate to Minnesota or Wisconsin. New Employee Orientation (NEO) for all new benefitearning employees is inperson in downtown Minneapolis. Details about NEO will be provided upon hire.

About these position types:
These are fulltime benefit earning positions.
These positions are internally classified as a Legal Secretary.

In these positions you will:
  • Provide legal administrative and clerical support to attorneys in a law office setting.
  • Type draft transcribe proofread and file correspondence motions memorandums subpoenas affidavits proposed orders appellate briefs and other court documents with district court and state courts with a high degree of speed and accuracy.
  • Gather organize and maintain documents/cases on various court calendars.
  • Input retrieve modify stored information in computerized systems; copy fax scan email efile and distribute documents to respond to a broad range of requests for information; interact in person and by telephone with the public attorneys all court personnel other justice partners and County Attorneys Office staff.
  • Provide front desk coverage on occasion in addition to providing backup secretarial assistance to others.
Need to have:
  • One of the following:
    • Two or more years of general office work experience including one year or more of secretarial experience in a legal environment.
    • Completion of an approved business school/technical college program as a legal secretary legal administrative assistant and/or paralegal.
Nice to have:
  • Experience:
    • Working in a public law office or court setting.
    • Supporting multiple attorneys simultaneously.
    • Working as legal secretary.
    • Preparing civil or criminal cases for prosecution.
    • Preparing and coding appellate briefs for efiling with appellate courts.
    • Looking up and maintaining information in electronic databases (other than an email system) as a significant part of your job.
    • Filing documents with the courts through the State of Minnesota efiling and/or echarging system(s).
    • Transcribing information from CDs WAV and/or other media files and handwritten copies.
    • Preparing correspondence using Microsoft Office (Word Excel and Access) software on a routine basis; advanced skills in working with Microsoft Outlook and/or a similar email/calendar program.
    • Using databases and performing data entry.
  • Ability to:
    • Accurately type 55 or more words per minute.
    • Exhibit strong organizational and time management skills.
    • Learn quickly and grasp complex information/concepts and apply them effectively when dealing with ambiguous assignments.
    • Interact with the general public and staff members with tact and discretion.
    • Conduct oneself professionally and deal with confidential issues.
    • Meet deadlines and produce accurate work in a fastpaced office environment.
