A Leading Export Company is looking forDocumentation Executive who plays a critical role in ensuring the timely and accurate preparation processing and management of all exportrelated documents. This role involves collaborating with various departments customers and authorities to guarantee compliance with international regulations and standards.
Key Responsibilities:
Export Documentation Management:
- Prepare and process export documents including commercial invoices packing lists bills of lading certificates of origin letters of credit (LC) export licenses and other necessary paperwork.
- Ensure all documents comply with international trade regulations and customerspecific requirements.
- Coordinate the submission of export documents to customs authorities freight forwarders and other involved parties.
- Maintain accurate records of all export transactions and documentations for future reference or audits.
Coordination with External Parties:
- Work closely with customs brokers freight forwarders and shipping lines to ensure proper handling of export consignments.
- Liaise with clients suppliers and internal teams to gather the required information for documentation purposes.
- Communicate with banks and ensure the proper processing of letters of credit (LC) or other financial documents.
Compliance & Regulation:
- Stay updated on export laws regulations and requirements of different countries and ensure all documents meet these standards.
- Ensure compliance with customs regulations export control laws and industry standards.
- Assist in resolving any issues related to documentation discrepancies or customs clearance problems.
Logistics Support:
- Assist in scheduling shipments and coordinating with the logistics team to ensure ontime delivery.
- Track export shipments and provide status updates to clients and internal teams.
- Prepare shipping instructions and ensure accurate labelling of goods.
Internal Communication & Reporting:
- Provide support to the Export Manager and other departments (sales finance etc. by providing accurate documentation and shipping details.
- Prepare and maintain reports related to exports shipments and customs.
- Ensure timely and efficient handling of any documentationrelated queries.
Requirements
Qualifications:
- Bachelors degree in Business Administration International Trade Logistics or a related field.
- 4years of experience in export documentation or a similar role.
- Strong understanding of international trade regulations and export documentation processes.
- Proficient in using export management software ERP systems and Microsoft Office Suite.
- Excellent communication skills both written and verbal.
- Strong attention to detail and organizational skills.
- Ability to work under pressure and manage multiple tasks effectively.
- Knowledge of Incoterms freight forwarding and customs procedures is a plus.
Preferred Qualifications:
- Experience with Letters of Credit (LC) and other financial export documentation.
- Familiarity with global shipping and customs regulations.
- Knowledge of different export documentation platforms or software.
