- Identifying clients requirements and expectations for each event
- Manage all aspects of event planning meeting strict deadlines and budget demands
- Event planning design and productionwhile managing all project delivery elements within time limits
- Brainstorming and implementing event concepts and themes
- Nurture and build relationships with vendors venues and other industry contacts to craft and implement creative and logistical aspects of all events
- Conduct market research gather information and negotiate contracts prior to closing any deals
- Preparing event budgets and processing invoices
- Stay current and often ahead of the curve on event planning design and production trends proactively identifying and solving operational challenges
- Provide feedback and periodic reports to stakeholders
- Organizing suppliers caterers staff and entertainment
- Establish standard procedures and train staff to execute them
- Organize facilities and manage all events details such as decor catering entertainment transportation location invitee list special guests equipment promotional material etc
- Anticipating attendee needs and making preparations against potential risks
- Comply with legal insurance health and safety regulations at all times
- Proactively handle any arising issues and troubleshoot any emerging problems on the event day
Requirements
- Degree in hospitality public relations management or related field
- Proven success as an event planner or coordinator
- Impressive portfolio of previously managed events (weddings meetings parties corporate events)
- Experience in project management with a track record of successful events
- Strong interpersonal and communication skills
- Excellent time management skills
- Excellent organizational skills with the ability to multitask under pressure
- Proficient with the Event Management System and Cvent registration tool used to manage registration and event logistics
- MS Office proficiency
- Creative outofthebox thinking
- Flexibility to travel both domestic and internationally as needed
- Willing to submit references from previous clients
- Ability to lead a large team and delegate tasks effectively
- Financial savvy with the ability to adhere to plan budgets and process invoices
