Job Summary:
We are seeking a highly organized and detailoriented HR Executive Compliance to join our team in the Facility Management Services sector. The ideal candidate will be responsible for ensuring compliance with labor laws industry regulations and company policies while overseeing the daytoday HR operations within the organization. This position requires a solid understanding of HR practices and relevant labor laws with a focus on compliance in a facility management context.
Key Responsibilities:
- Compliance Management: Ensure adherence to labor laws statutory requirements and internal policies across all sites within the organization. Regularly audit and monitor compliance with local state and central regulations related to employee management.
- Employee Documentation: Maintain accurate employee records including contracts attendance payroll performance reviews and other personnelrelated documents. Ensure that all documentation is compliant with relevant labor regulations.
- Statutory Compliance: Oversee and ensure timely submission of statutory returns such as Provident Fund (PF) Employee State Insurance (ESI) Professional Tax (PT) Gratuity and other applicable governmentrelated filings for employees in the facility management sector.
- Audit and Reporting: Assist in internal and external audits related to HR practices including but not limited to compliance payroll and benefits. Prepare reports on employee compliance attendance and compensation as required by management and external bodies. Visiting Labor Department as and when any notices arise and addressing them accordingly for the closure.
- Employee Policies and Procedures: Draft implement and communicate HR policies related to compliance ensuring that they align with legal requirements and are understood by all employees. Ensure that policies are regularly updated as per changes in labor laws.
- Training and Awareness: Conduct regular inductions/training sessions for employees and managers on compliancerelated matters such as labor law updates health and safety regulations and company policies. Encourage awareness of compliance and ethical standards.
- Handling Grievances and Disputes: Assist in addressing and resolving employee grievances or issues related to compliance matters ensuring a fair and consistent approach to conflict resolution.
- Insurance Desk: Passing all queries related to insurance to Insurance Brokers and taking up followup until it gets closed and maintaining the data required for insurance renewals.
- Health and Safety Compliance: Ensure compliance with safety regulations within the facility management operations conducting regular checks and ensuring proper health and safety procedures are followed.
- Leave and Benefits Management: Oversee the management of employee leave policies (sick leave annual leave etc. ensuring that statutory guidelines are met. Ensure that employees receive appropriate benefits in accordance with company policies and government regulations.
Skills and Qualifications:
- Education: A Bachelors degree in Human Resources Business Administration or related fields. Additional certifications in HR compliance or labor laws are a plus.
- Experience: 25 years of experience in HR with a strong focus on compliance in the Facility Management or related services industry. Experience handling HR compliance for a large workforce is preferred with a minimum of 3000 Workforce.
- Knowledge of Labor Laws: Strong knowledge of labor laws and statutory requirements in India (or relevant jurisdiction) including PF ESI PT minimum wage regulations etc.
- Attention to Detail: Must be highly organized and detailoriented with the ability to handle multiple tasks and ensure compliance in a fastpaced environment.
- Problem Solving and Conflict Resolution: Excellent interpersonal and communication skills with the ability to address and resolve employee issues or concerns effectively.
- Technological Proficiency: Familiarity with HR management software (e.g. HRMS) and MS Office applications (Excel Word PowerPoint) to manage documentation and reporting.
- Time Management: Ability to prioritize and manage time effectively ensuring compliance deadlines and other responsibilities are met.
Preferred Qualifications:
- Experience working in a Facility Management Services company.
- Knowledge of HR automation tools and systems to improve compliance processes.
- Good understanding of employee welfare and health and safety regulations specific to the industry.
