Job Description

Reports To:Superintendent of Schools Evaluated By:Superintendent of SchoolsJOB GOAL: To serve as the confidential executive assistant to the Superintendent Assistant Superintendent and School Committee members. Ensure the efficient and effective management of all projects and tasks led by the Superintendent.ESSENTIAL REQUIREMENTS: The individual needs to bring to the position excellent interpersonal and teamwork skills with an ability to engage and collaborate with a broad range of constituents and colleagues. They need to enjoy the school environment and have a passion for contributing to the success of the district.
  • Strong knowledge and expertise in public relations scheduling organization and all forms of communication.
  • Highly skilled in transforming complex data into visually compelling presentations that engage and inform. Excels in professional communication delivering clear concise and impactful messages. Proficient in digital media tools effectively utilizing them for strategic internal and external communications.
  • Proven ability to exercise sound judgment demonstrating tact and diplomacy while maintaining confidentiality in sensitive matters.
  • Proficient in Microsoft Office Excel Google Suite design platforms and Adobe.
  • Experienced in managing various human resource functions including onboarding new employees coordinating leaves of absence and processing payroll.SPECIFIC DUTIES AND RESPONSIBILITIES: Other duties may also be assigned by the Superintendent of Schools.
    • Provide extensive and continuous calendar management conference and event registrations.
    • Act as a representative of the District regarding internal and external relations and correspondences and screening communications.
    • Ensure that the leadership is informed of priorities and deadlines
    • Proactively identifies communication channels to highlight the districts strengths to families and the community.
    • Attend leadership and other key meetings to stay informed on district initiatives take notes and organize documents and action items. Effectively organize relevant information in a clear and engaging manner.
    • Continuously updates relevant and timely information to our website.
    • Issue all teacher and staff annual contracts for the Superintendents approval and provide salary information and changes to the Director of Finance and Operations.
    • Manage and issue stipend contracts as needed.
    • Prepare and process biweekly payroll for the school district including reviewing and verifying timesheets updating deductions for union dues 504 contributions healthcare share and any other changes to employee benefits or deductions. Ensure accuracy and compliance with district policies and relevant regulations.
    • Maintain accurate and uptodate employee records ensuring compliance with district policies and legal requirements. Regularly update personnel files track employee status changes and manage documentation related to hiring benefits performance evaluations and departures.
    • Provide support in contract negotiations and budget development.
    • Post jobs internally and on other employment sites.
    • Coordinate interviews and organize the interview advisory process as needed.
    • Report school closures to local media stations.
    • Organize and promote staff recognition initiatives highlighting achievements milestones and contributions. Effectively communicate celebrations through various channels to foster a positive and appreciative workplace culture.
    • Post all School Committee (SC) public notices agendas and materials including subcommittee meetings.
    • Attend School Committee meetings and occasional subcommittee meetings draft minutes that accurately reflect the deliberation of and actions taken by the School Committee on all agenda items.
    • Post meeting minutes policies and other relevant School Committee and department information to the school website.
