Job Description

General Overview:
The Business Office Manager is responsible for overseeing and coordinating critical business office functions such as accounts payable accounts receivable and general accounting for the community. This role includes collaborating with other departments and the LifeSpire Home Office to ensure accurate and efficient business operations. The Business Office Manager will supervise one administrative assistant and will closely work with corporate accounting teams to ensure smooth monthend processing and billing. Additionally this position will support team members residents families staff vendors and visitors by addressing any financial inquiries or issues that may arise.

Qualifications:
To succeed in this role the Business Office Manager should possess the following:

  • Strong relationship management skills with the ability to build and maintain positive working relationships with coworkers residents families and vendors.
  • Exceptional organizational abilities and keen attention to detail to ensure smooth financial operations.
  • Excellent verbal written and interpersonal communication skills to interact effectively with a diverse range of stakeholders.
  • Selfmotivation and the ability to work independently with minimal supervision.
  • Strong computer skills particularly in accounting software and the ability to quickly learn new software programs.
  • Proficiency in Microsoft Office especially Excel and Word to handle financial data and communication tasks.
  • Strong customer service and problemsolving abilities with a proven track record of resolving issues and communicating solutions effectively.
  • A Bachelors degree in Business Accounting or a related field (with an emphasis in Accounting/Finance) or equivalent experience is preferred.
  • Experience with Medicare/Medicaid billing especially in a continuing care longterm care or skilled nursing facility is highly preferred.
  • 12 years of experience in accounting or a related field is preferred.

Key Responsibilities:
The Business Office Manager will support the Mission Values and Vision of LifeSpire by:

  • Preparing bank deposits and generating corresponding reports to ensure financial accuracy.
  • Managing private pay resident billing and accounts receivable to guarantee timely payments and accurate records.
  • Collaborating with the revenue cycle manager to address any billing adjustments refunds or disputes.
  • Meeting with new residents and their families to explain financial obligations paperwork and billing processes.
  • Maintaining ongoing communication with residents and family members regarding billing collections and any issue resolutions.
  • Overseeing accounts payable processes to ensure timely and accurate payment of invoices.
  • Updating and reconciling daily census records in a timely manner to maintain operational efficiency.
  • Addressing pastdue accounts and reporting unresolved issues to the Executive Director and corporate revenue cycle manager.
  • Managing vendor contracts ensuring all necessary documentation such as signed agreements licenses and insurance coverage are uptodate.
  • Overseeing monthend processes reviewing census reconciliations and verifying billing accuracy.
  • Ensuring accurate completion of admission forms and agreements.
  • Assisting with monthend billing processes to verify claims rehab bills and pharmacy bills.
  • Identifying discrepancies and bringing them to managements attention for resolution or further training.
  • Compiling and preparing data and reports as required by the Administrator or Corporate team.
  • Assisting with the annual budgeting process by collaborating with department heads to consolidate individual budgets into a comprehensive community budget.
  • Helping the Executive Director with monthly variance reporting.
