The Administrative Assistant to the Dean provides essential administrative and operational support to the Dean and executive leadership within the Nursing School. This position requires an organized initiativetaking and detailoriented individual capable of handling multiple priorities and tasks in a fastpaced academic environment. The role includes a variety of responsibilities including daily administrative operations data administration event and travel coordination calendar management communication with board members and departmental communications. This individual will also play a key role in enhancing office efficiency and supporting the schools mission.
A minimum of a Associates Degree and three years of workrelated experience is required. A Bachelors Degree and five years of relevant work experience is preferred. This position is located in Dallas TX.
Applicants must be currently authorized to work in the United States on a fulltime basis.
What You Will Do
Administrative Support:
- Assist the Dean and other executivelevel leadership with daily administrative operations including managing schedules preparing correspondence and facilitating communication with internal and external stakeholders.
- Assist with managing confidential information with discretion and professionalism.
- Analyze data and prepare reports as needed ensuring accuracy and alignment with departmental goals. Serve as the primary contact for various departments ensuring timely responses to requests and facilitating crossdepartmental collaboration.
- Coordinate special events meetings and departmental requests ensuring successful and alignment with organizational priorities. Implement and streamline office operations procedures and activities to improve efficiency and productivity.
- Maintain followup systems on pending projects reports and administrative tasks to ensure timely completion. Identify areas for improvement in administrative procedures and recommend solutions to optimize office functions.
Budget and Data Administration:
- Assist with budget management processes by tracking expenses preparing budget reports and ensuring financial accuracy in line with departmental goals.
- Maintain confidential records ensuring the proper handling and storage of sensitive information in compliance with university policies and regulations.
Event Coordination and Travel Management:
- Coordination of logistics for special events including conferences workshops board meetings and faculty meetings ensuring all details are addressed from venue selection to guest accommodations.
- Manage travel arrangements for the Dean and other faculty members including booking flights accommodations and preparing itineraries. Ensure travel plans follow university policies and budgetary constraints.
- Assist with travel reimbursements and expense reports in accordance with university procedures.
Calendar and Schedule Management:
- Maintain the Deans calendar coordinating appointments meetings and events while ensuring efficient time management.
- Prioritize and organize appointments to avoid scheduling conflicts and maximize the Deans productivity.
- Remind the Dean of upcoming meetings deadlines and commitments.
Communication and Collaboration:
- Assist with department communications and correspondence: Prepare edit and proofread correspondence emails. reports presentations and other documents as needed.
- Collaborate with other administrative offices faculty and support staff to ensure smooth operations and effective communication across departments.
General Administrative Duties:
- Answer phone calls manage emails and direct inquiries to appropriate personnel.
- Maintain and organize filing systems both electronic and paper based.
- Perform all other duties as assigned to support the mission and goals of Baylor University and the Nursing School.
- Ensure compliance with university policies and procedures in all administrative functions.
- Maintain regular and punctual attendance adhering to the schedule and operational requirements of the office.
