Job Description

The Department of Modern Languages Literatures and Cultures at Wofford College invites applications for a fulltime Administrative Assistant and Building Manager. This position reports directly to the Department Chair and Executive Assistant to the Provost.

The Administrative Assistant and Building Manager provides comprehensive support to the Department Chair and faculty by managing administrative operational and functional needs. This role oversees building facilities to maintain a wellorganized and efficient environment for faculty staff and students while working collaboratively with other administrative assistants on campus. Additionally the position requires the handling of confidential information in accordance with the Colleges confidentiality policies.

This fulltime nonexempt position requires 37.5 hours of work per week between 8:00 a.m. and 4:30 p.m. Depending on department activities and events occasional evenings and weekends may be necessary. Punctuality and adherence to the work schedule are expected and critical for effectively supporting the Department.

KEY RESPONSIBILITIES

  • Serve as the primary administrative contact for the department providing support to faculty staff and students.

  • Manage daily office operations including scheduling correspondence and recordkeeping.

  • Work with the Department Chair on student language placements.

  • Set up student Oral Proficiency Interviews.

  • Coordinate financial transactions in Workday including budget tracking expense processing and purchasing.

  • Assist with academic and event planning including organizing meetings lectures and departmental functions.

  • Maintain department technology (e.g. printers computer lab) and request a service order from the Office of Instructional Technology as needed.

  • Assist with hiring and supervising student workers as well as creating a schedule for student employees each semester.

  • Assist student workers with managing the departments social media pages.

  • Support department members and search committee members during the hiring process for adjunct visiting and international faculty. This includes assisting with applications for Fulbright Language Teaching Assistants and ensuring adherence to university policies and procedures.

  • Maintain an inventory of office and instructional supplies for the department and the shared central workroom in the building and process orders as necessary.

  • Oversee building operations including but not limited to the following:

    • Ensuring proper maintenance of facilities by reporting necessary repairs and coordinating with the facilities staff.

    • Managing the buildings keys including requesting duplicates when needed.

    • Maintainingbuilding signage.

    • Providing logistical assistance for faculty office relocations within the building.

    • Assigning specific tasks such as copier management to appropriate personnel.

  • Other duties as assigned by the Department Chair and the Executive Assistant to the Provost.

MINIMUM QUALIFICATIONS

  • Associates degree or equivalent combination of education and experience.

  • Minimum of two years of administrative experience in an office setting.

  • Strong organizational skills and attention to detail.

  • Excellent written and verbal communication skills.

  • Proficiency in Microsoft Office Suite (Word Excel Outlook) and other office software.

  • Willingness to learn new software applications as needed.

  • Ability to take initiative and work independently and efficiently.

  • Strong interpersonal skills.

Preferred Qualifications

  • Experience in an academic or higher education environment.

  • Familiarity with university policies budget management and procurement processes.

  • Experience managing facilities or overseeing building maintenance operations.
