Job Description

Due to an internal promotion we are seeking a proactive and organised individual to join the Cultural Heritage Unit team in a parttime administrative role 23 days per week).

Position Overview:

This position offers a blend of general administrative tasks IT support and detailed documentation responsibilities within the Cultural Heritage Management Plan (CHMP) process. If youre confident in using Microsoft Office and enjoy supporting others with IT needs this could be the perfect role for you.

In this role you will assist with the daytoday operations of the Cultural Heritage Unit including managing reception tasks providing IT support and supporting the team with detailed notetaking during meetings. A critical part of this role involves ensuring accurate documentation of complex cultural heritage terminology and methodologies.

About Us: WTOAC is a Registered Aboriginal Party established to protect and promote the aspirations of the Wadawurrung People. Guided by the Paleert Tjaara Dja Country Plan our mission focuses on cultural heritage management and caring for Country.

Key Responsibilities:

  • Assist Heritage Team: Support with filing of paperwork scheduling internal and external stakeholder meetings and taking minutes as required.
  • Meeting Support: Take clear accurate and detailed notes during fastpaced meetings capturing complex information while ensuring nothing is overlooked.
  • Documentation: Use archaeological terminology and principles to ensure your notes accurately reflect the discussions and methodologies used during meetings.
  • Feedback Management: After meetings manage feedback from external parties such as Heritage Advisors or Sponsors ensuring revisions or comments are accurately integrated without altering the original meaning of the discussion.
  • Manage Email Accounts and Data: Handle generic email accounts perform data entry track document submissions and provide statutory responses as requested.

Key Selection Criteria:

  • Experience with detailed notetaking particularly in meetings with complex information.
  • Familiarity with archaeological terminology and principles and the ability to accurately capture and document complex methodologies.
  • Strong organisational skills with the ability to manage and prioritise multiple tasks effectively in a fastpaced environment.
  • Ability to assist with administrative tasks such as scheduling meetings filing paperwork managing generic email accounts and tracking document submissions.
