Job Description

Term: Permanent

Remuneration: Remuneration commencing from $95102 plus superannuation

What are we looking for

Are you a highly organised proactive professional ready to make a difference in the exciting space of Treaty in Victoria This is your chance to step into a dynamic and varied role where no two days are the same! As the Executive Assistant to the CEO of the Treaty Authority youll be responsible for managing the CEOs schedule coordinating key meetings preparing critical correspondence and handling travel arrangements.

Youll also provide essential secretariat support for governance and leadership meetings by setting agendas taking minutes maintaining action registers and preparing key reports.

Working closely with the Strategic Advisor and a small but highly effective coordination team youll be instrumental in ensuring everything runs smoothly to help the organisation support a Treaty process that promotes equality for First Peoples and upholds their selfdetermination. What you need to succeed:

  • Manage their schedule emails and key correspondence to keep the CEO one step ahead.
  • Plan and coordinate highlevel meetings events and travel.
  • Be the CEOs trusted point of contact handling sensitive matters with professionalism.
  • Drive engagementsupport staff meetings and teambuilding initiatives.
  • Play a key role in supporting critical decisionmaking forumsprepare agendas take minutes and track actions.
  • Ensure smooth governance processes and compile reports that shape organisational progress by optimising workflows and enhancing efficiency across the Treaty Authority.
  • Step in to provide general office support when needed.

About the Treaty Authority

The Treaty Authority is an independent entity with a mandate to facilitate the formation of treaties between the State of Victoria and First Peoples in Victoria.

The Treaty Authoritys work is grounded in Aboriginal culture lore and law and led collectively by a panel of five Members committed to Aboriginal selfdetermination and empowerment. It engages with a broad crosssection of stakeholders including the State of Victoria the First Peoples Assembly and Traditional Owners in Victoria.

The objects of the Treaty Authoritys work are to:

  • Facilitate the journey towards reconciliation mutual respect and tolerance between First Peoples and other people of the State and to
  • Maintain promote and advance the selfdetermination and empowerment culture and human rights of First Peoples.

What youll bring:

  • Proven Experience A strong background as an Executive Assistant supporting senior leaders and managing complex schedules travel and communications.
  • Governance Expertise Skilled in secretariat support for board and governance meetings including minutetaking agenda preparation and decision tracking.
  • Organisational Excellence Exceptional time management the ability to juggle multiple priorities and a proactive approach to problemsolving.
  • Communication & Stakeholder Management Outstanding verbal and written communication skills with the ability to build trusted relationships across all levels with First Peoples and community
  • Techsavvy Advanced proficiency in Microsoft Office Outlook and SharePoint (preferred).
  • Adaptability & Resilience Thrives in a fastpaced environment stays calm under pressure and remains flexible to shifting priorities.
