Job Purpose
Supports the Vehicle Program by assisting with online retail operations ensuring accurate documentation processing sales transactions and maintaining positive customer interactions. Works closely with internal teams to ensure smooth operations and adherence to compliance standards.
Essential Functions
- Assists with processing online vehicle sales and coordinating related documentation
- Communicates with customers and donors throughout the online sales process via phone email and messaging platforms
- Facilitates vehicle transport and logistics in collaboration with internal and external teams
- Ensures accuracy in documentation including compliance with DOT forms and sales records
- Maintains a clean organized and efficient workspace to support sales operations
Job Responsibilities
- Sales Support & Customer Service
- Assists in responding to customer inquiries regarding vehicle sales pickup requirements and purchasing processes
- Facilitates clear and professional communication with buyers donors and vendors
- Assists in coordinating vehicle handovers and verifying required documentation
- Administrative & Compliance
- Ensures all sales documents are completed accurately and stored appropriately
- Adheres to legal and compliance requirements including proper DOT form completion
- Works collaboratively with the internal team to streamline documentation and reporting functions
- Operational Support
- Works closely with the production customer service and retail sales teams to develop efficient processes
- Assists in evaluating donated vehicles and miscellaneous items for resale potential
- Helps maintain digital sales platforms and contribute to process improvements
- Maintain Professional and Technical Knowledge

Qualifications
Qualifications
- Experience in retail customer service or administrative support preferably in online sales
- Strong interpersonal organizational and administrative skills
- Proficiency in computer systems internet research and digital sales platforms
- Ability to obtain a Retail Vehicle Sales License if required
- Cash handling experience preferred
- Familiarity with vehicle sales or mechanical knowledge is a plus
Working Conditions
- Officebased role with occasional warehouse or outdoor tasks related to vehicle inspections
- May require occasional lifting of up to 25 lbs
- Frequent use of computer and phone for customer communication
