Job Title: Project Manager Reports to:Account Director
Job Purpose:The Project Manager (PM) is responsible for all project planning management and tracking from inception to completion to ensure delivery of projects is ontime onspecification and onbudget. The PM manages a project from kickoff to postmortem working directly with the Account Management team the client and internal agency stakeholder to clarify program design and logistical details. The PM executes the strategy that supports service delivery excellence client profitability and client satisfaction and makes use of best practices across all project and client accounts.
Primary Duties and Responsibilities: - Works with the Account and Project Coordination team to define project scope project specs and project timeline; develops timelines and manages updates.
- Ensures client objectives are followed and met throughout the project development and delivery process.
- Maintains a proficient level of brand(s) knowledge.
- Leads project kickoff meetings within the agency and with external vendors as appropriate.
- Prepares internal status agendas and leads internal agency status; prepares client status agendas for review participates in or coleads client status meetings captures notes and drafts recaps.
- Manages Project Coordinator(s) workload and supports career growth and skill development.
- Collaborates with the Medical Editorial Creative and Operations teams in the delivery of programs to ensure all internal stakeholders have a full understanding of the project scope deliverables and due dates.
- Thinks strategically and takes a proactive approach to problemsolving; flags potential project pitfalls and/or quality issues; assists in problem resolution and collaborates with team members to initiate solutions.
- Manages MLR/PRC submission process working with Project Coordinator/Traffic; leads communications with MLR/PRC team as appropriate; understands submission process and compliance requirements reporting and documentation.
- Participates in resource planning sessions works with other department leads to prioritize work fills resource gaps and anticipates future resource needs.
- Communicates effectively and efficiently with internal and external stakeholders.
- Serves as daytoday contact with KOL/faculty; drafts KOL/faculty communications; supports KOL contracting.
- Reviews own and Project Coordinators work for quality and accuracy ensures all quality control measures (e.g. editorial review graphics review) are completed within the standard operating procedures.
- Supports financial management development of proposals and SOWs manages budget tracking including tracking of external invoices runs Replicon reports and leads reconciliation process.
- Develops client communications and supportive program materials (ie invitations consultant contracts confirmations etc..
- Maintains electronic and paper files for all projects.
- Executes all aspects of administrative responsibilities (timesheets status updates etc. in appropriately detailed and timely manner.
- Understands the regulations/guidelines of the AMA OIG PhRMA and ACCME regarding the development of promotional and educational programming.
Qualifications: - Bachelors degree in marketing communications or related field.
- Minimum of 3 years experience in program management preferably in a medical communication agency setting within the pharmaceutical arena.
- Basic to intermediate skill level in Microsoft Office Suite Word Excel and Outlook.
- Intermediate to advanced skill level in PowerPoint.
- Strong project management skills with ability to manage multiple projects simultaneously.
- Positive effective communicator both written and oral internal and external.
- Thorough understanding of project workflow and prioritization strategies; PMP certification a plus.
- Ability to work well on a diverse team and collaborate with other team members of all levels to achieve best results.
